What are the responsibilities and job description for the Regional Events Coordinator position at Troutman Pepper?
Essential Duties and Responsibilities:
- Responsible for planning, budgeting, coordinating, and tracking of events, seminars, retreats, and conferences both in-person, hybrid and virtual.
- Work with the events team on recording, tracking, and allocating firm tickets for client relations and business development purposes through, Ticket Manager, a web-based ticket management software.
- Responsible for the planning, budgeting, and tracking firm promotional items as well as researching and purchasing items as needed.
- Responsible for scheduling, shipping, and tracking firm booths and banners as needed across the firm.
- Responsible for creating, maintaining, and tracking events through InterAction, a client relationship management (CRM) database.
- Assist in the design, creation, communication, and tracking of firm invitations through e-marketing software, Vuture.
- Responsible for running virtual events and webinars through video communication platforms, On24 and Zoom.
- Maintain billing and accounts payable for events adhering to the allocated budget for each event.
- Responsible for department event deposits and invoices and timely reconciliations through the accounting system, Chrome River.
- Stay informed and communicate new industry trends for event planning and resources to implement.
- Provide clerical and event support as needed.
- Update and maintain firm calendars ensuring accuracy and supports business needs.
- Use project management skills and tools, such as timelines, agendas and event schedules, to define and communicate meeting parameters and ensure seamless planning and execution.
- Post-event responsibilities include timely thank you communications, assisting in compiling program feedback, processing invoices, budget reconciliation.
- Manage and track best practices and processes for replication of high-quality and consistent programming for future programs.
- Additional duties as assigned to meet business needs.

- Must be able to effectively multi-task and prioritize projects while meeting deadlines.
- Must be adaptable to the ever changing events environment.
- Must be proficient at using Microsoft Word, Excel, Outlook, and PowerPoint.
- Ability to travel as needed to support firm events.
Education and/or Experience:
- BA or BS from an accredited college or university.
- Three (3) to five years (5) of experience in event planning preferred.
Job Type: Full-time
Pay: $50,000.00 - $70,000.00 per year
