Posted Job Title Communications Coordinator Job Profile Title Coordinator A Job Description Summary Serve as Communications Coordinator within the University of Pennsylvania’s Penn Medicine Development and Alumni Relations (PMDAR) Office. The position sits on the Communications and Stewardship Team and will be responsible for supporting a communications program that complements and enhances donor outreach and stewardship across all service lines of the University of Pennsylvania Health System. This includes but is not limited to navigating the Team’s online project management system; writing, proofreading, and copy-editing digital and print collateral (e.g., stewardship reports, proposals, one-pagers, patient stories, and vision pieces) in Adobe Creative Cloud; creating digital and social media content; coordinating scheduling and printing/mailing of collateral; and executing the timely review of print and digital content. The role will provide communications support across PMDAR, including the Abramson Cancer Center (ACC), Alumni Development Alumni Relations (ADAR), Biomedical Research (BMR), Corporate and Foundational Relations (CFR), Health System Annual Giving (HSAG), Planned Giving (PG), Leadership and Strategic Initiatives (LSI), and University of Pennsylvania Health System (UPHS) Development teams. This position is an opportunity to build writing and design skills, and the right candidate will need to exercise judgment, initiative, and discretion in carrying out project-related duties for supervisor and development staff. Will handle complex and highly confidential materials. Must have the ability to meet deadlines in a goal-oriented environment and have excellent organizational skills. Job Description Specific Responsibilities: Reports to the Executive Director of Communications & Stewardship and supports the larger PMDAR Communications and Stewardship Team. Hybrid Eligible – This position is eligible for a hybrid remote schedule with 2 days of work performed remotely and 3 days in the office. Maintain superlative writing, copy editing, and proofreading skills. Edit or create digital and print collateral using Adobe Creative Suite Software, specifically InDesign and Acrobat Pro, and learn new tools to support PMDAR activities as needed. Coordinate/organize communication calendars, execute the timely review of print and digital content related to development communications across PMDAR. Support oversight of Easy Projects, PMDAR’s online project management system for Communications project requests. Contribute to administrative support for PMDAR Communications team including meeting scheduling and preparation, and coordination of financial/budgetary needs including reconciling paid events, setting up purchase orders and vendor approval, processing invoices for reimbursement of professional development and general travel needs. Create digital communications, including MyEmma emails and social media blurbs; set up vanity URLs and build registration pages. Help support the acknowledgement process for PMDAR gifts –from drafting personalized correspondence for Penn Medicine leadership, including but not limited to: ACC Director, PSOM Dean, UPHS CEO, and EVD/CSO to managing the review and execution of personalized acknowledgments. Manages and maintains confidential files, records, and databases. Performs other duties as assigned. Qualifications: Bachelor's Degree and 1-2 years administrative and/or project management or equivalent combination of education and experience required. Experience with progressively complex responsibilities preferred. Excellent interpersonal communication skills, strong organizational skills, talent for creative problem solving, and an ability to manage multiple tasks and projects under deadline. Knowledge of best practices in organizing data and preparing data analysis, utilizing Microsoft Office and Adobe Creative Suite Software Suites, with particular strengths in Excel, PowerPoint, and other templates. Ability to learn new design and publication software programs used by the University of Pennsylvania and PMDAR. Ability to handle complex and highly confidential materials. The incumbent works on a daily basis with and through senior institutional officers, trustees and volunteers, administrators, faculty, grateful patients, and development/alumni affairs/ public affairs colleagues, and must have experience, judgment, and communications skills commensurate therewith. Job Location - City, State Philadelphia, Pennsylvania Department / School Development and Alumni Relations Pay Range $37,221.00 - $50,000.00 Annual Rate Salary offers are made based on the candidate’s qualifications, experience, skills, and education as they directly relate to the requirements of the position, as well as internal and market factors and grade profile.
