As a Part-time Office Administrator at Lunda Construction, reporting to the Regional Manager, you will support, coordinate, and oversee the general office operations and procedures for the Milwaukee, WI region, in addition to providing support to the management team while maintaining all aspects of daily office operations.
Essential Duties and Responsibilities:
- Oversee general office administration and provide support in a variety of areas and functions to office and field teams.
- Coordinate receiving and distribution of certified payroll reports, field production reports, material tracking, and cost reports.
- Assist project teams with submittals, project notices, correspondence with owners, subcontractors, and vendors, electronic archival of documents, and change order documentation preparation.
- Reconcile credit card statements, verification of office facility and services invoices, process expense reports, and verification of vendor billing rates and reimbursement rate changes.
- Assist with bid solicitations, DBE outreach, quotation requests, assembly of project information documents, and set up of project site office equipment and services.
- Office operations, including, but not limited to mail and parcel service, facility service contracts, office supply management, office phone system, and guest, customer, and employee reception.
- Liaison with support departments and internal customers in the various Lunda offices.
Requirements:
- High School Diploma or GED with 3 years of experience in office management/support role or related administrative experience required. Associate’s degree in Human Resources, Business, or related field from an accredited institution, preferred.
- Must be a self-starter that can work with direction and independently, keeping customer service and building relationships as top priority.
- Ability to prioritize projects in an ever-changing environment and respond effectively to changes in situation or information.
- Ability to build relationships and partner with cross functional departments to achieve results.
- Demonstrate ability to be dependable, consistent, diligent, and thorough.
- Excellent writing skills; demonstrated experience creating and writing processes.
- Represent the company with a positive attitude internally and externally.
- Strong MS Office program knowledge and skills.
- Previous experience with JD Edwards software preferred.
- Strong technical aptitude with the ability to learn new software quickly required.
