Two Trees Management Company, a leading New York based residential and commercial real estate developer is seeking a driven, service-oriented, and experienced professional for a full time Commercial Property Management position. Reporting to the Director of Commercial Operations and partnering with the firm’s in-house commercial leasing team, this role will be part of the team responsible for day-to-day oversight and management of over 2 million square feet of Two Trees owned and operated Commercial Office Buildings in Brooklyn and Manhattan and will have leadership responsibility for 1) tenant relations and customer service, 2) building operations and facilities maintenance, and 3) and building compliance and administrative oversite.
Job Responsibilities
Tenant Relations
- Maintain best-in-class standards of customer service and monitor that all building staff consistently engages with commercial office tenants in a courteous, timely, and proactive manner on all issues that arise during their tenancy.
- Prioritize and action service requests, questions, and inquiries from tenants in an expeditious manner with clear lines of communication and proactive follow-up.
- Partner with commercial leasing and in-house counsel in evaluating tenant buildouts during lease negotiation phase and then manage tenant communications and overall process for completing work on time and within budget once work has begun.
- Enforce all building rules, regulations, lease obligations in an unambiguous and consistent manner.
- Oversee all building amenity spaces and other commercial tenant programming.
Administration, Operations, & Compliance
- Maintain strong fiscal discipline (including budgeting and forecasting) when monitoring and tracking building controllable expenses and spending on building capital projects (including tenant buildouts of newly rented spaces).
- Continuously review existing service contracts and preferred third party vendors to ensure they 1) offer the most cost-effective solution for services provided and 2) remain competitive in current market environment.
- Ensure building and grounds are in compliance with all required city, state, and federal ordinances and monitor status and resolution of any open citations.
- Strong knowledge of compliance processes required by the Department of Buildings (DOB), FDNY, Department of Health, Landmarks Preservation Commission, and other relevant city and state agencies that have direct and indirect oversite of commercial office properties in New York City are core to this role.
- Oversee 3rd party vendors contracts and insurance requirements related to all outside work done in support of the maintenance and operations of the building.
- Ensure all work performed at buildings are properly permitted and respond to and remediate any violations or citations that are issues on an ad hoc basis.
Staff supervision
- Assist in the supervision of building staff (superintendent, handymen, porters, construction management) and administrative/management staff (tenant relations, compliance, billing, accounts payable, etc.) to 1) improve building operating efficiency and 2) offer tenants the highest level of customer service expected from a premier office space.
Qualifications
Experience
- Ideal candidate will have previous 4 years experience in Property Management, Tenant Relations, Property Accounting, or Asset Management at a building or portfolio level.
- Diverse experience in tenant relations with commercial office tenants of varying sizes preferred including tenants occupying small (<5K sqft), medium (<20K sqft), and large (20K sqft) footprints.
- Applicants with extensive service-oriented senior management experience in the hospitality industry would also be strongly considered.
- References from relevant previous employers will be sought.
- College degree preferred but not required if prior direct experience and proven track record in a similar role can be demonstrated.
Leadership/Management Skills
- Strong bias towards customer service and managing resident relationships in an extremely professional, proactive, and courteous manner.
- Multi-tasking and management of multiple complex projects concurrently.
- Ability to lead by example but also formally train and motivate existing building staff to uphold highest standards of customer service.
