Essential Duties and Responsibilities include the following. Other duties may be assigned.
Responsible for maintaining accounting records as well as performing all duties associated with daily and weekly cash reconciliation.
Acts as the primary buffer and first response to patient concerns when a practice manager is not available.
Monitors, adjusts and assists with daily clinic scheduling errors or conflicts.
Schedules same-day appointments as needed.
Delegates and maintains PSR’s adherence to daily PSR duties.
Performs daily huddles to discuss workflow schedules, time off, schedule changes, provider schedules, daily callbacks, and maintenance of quality measures.
Greets and directs patients, salespeople, and visitors with a smile.
Schedules appointments, follow up appointments and enters appointment date and time ensuring that schedule optimizes patient’s satisfaction and reflects appropriate clinician and effective use of clinical hours.
Organizes and maintains EMR system for patient charts.
Registers patients by verifying that patient's record is up to date and accurate, including verification of insurance coverage. Makes appropriate changes and ensures required information is collected and scanned.
Answers telephone and either responds to inquiry, directs caller to appropriate personnel, or initiates communication for response by medical personnel.
Monitors no-shows/cancellations for available slots where the same day appointments can be scheduled.
Removes the day’s cancellations if a patient calls Front Desk to cancel.
Prepares all billings for processing. Responsible for determining, collecting co-pays, deductibles and addressing prior balances entering charges and payments with minimal errors.
Responds timely to Central Billing Office requests and work queues.
Participates in Quality and Compliance program. Maintains compliance, is knowledgeable, and utilizes the guidelines of all state and federal laws and regulations as they pertain to the position including, but not limited to; Health Insurance Portability Accountability Act (HIPAA), Scope of Practice, Accreditation Standards, Occupational Safety and Health Administration (OSHA), Bureau of Primary Health Care/ Health Resources and Services Administration (BPHC/HRSA), National Committee for Quality Assurance/Patient Centered Medical Home (NCQA-PCMH), Centers for Medicare and Medicaid Services (CMS), Clinical Laboratory Improvement Amendment (CLIA), and other HRSA related regulatory functions and/or agencies that Family Circle of Care participates in.
Patient Centered Responsibilities
Participates in team huddles to promote clear communication amongst care team and treating provider.
Conducts reminder calls to patients prior to scheduled visits.
Informs patients of Sliding Fee Scale and assists patients to fill out forms as needed.
