What are the responsibilities and job description for the Associate Director position at UCLA?

Serve as Associate Director for the Tadashi Yanai Initiative for Globalizing Japanese Humanities. This position has primary oversight and management of the endowment payout, events, publications, and all related programming for the Yanai Initiative conducted in professional and academic English and Japanese. Establish effective working relationships with internal and external partners including alumni, donors, faculty, staff and students, both verbally and in writing, and via print, broadcast and web-based media. In collaboration with Director, CAO and Chair, develop, implement marketing/public relations strategies that will increase the Initiative's visibility worldwide, to support recruitment of highly competitive, graduates and undergraduates, and promote alumni/donor development and fundraising activities. Conceptualize, create, research and write Initiative e-news letter, brochures, flyers, press releases, program descriptions, annual reports, and solicitation correspondence. Manage, research, solicit, write and post department news and events with relation to Yanai Initiative website, ensuring that integrity of information is maintained. The position will create, oversee, and execute the strategic vision of all Yanai Initiative events domestically and internationally. Prepare specialized financial reports for Director, CAO and Chair. Coordinate and collaborate with Divisional programs established by the Dean of Humanities and the Director of Yanai Initiative. Work collaboratively with UCLA development, alumni relations, and media relations staff. All job summaries above will be conducted in both English and Japanese. Required/Preferred

1. College Degree in a related field, with at least three years of demonstrated excellent writing and editing experience for print, broadcast and web based media, including researching and composing articles for newsletters, press releases and websites, or equivalent combination of education and experience.

2. Demonstrated ability in reading, writing, speaking in academic level in Japanese.

3. Knowledge of Japanese and East Asian languages and cultures, global developments in the international field and awards in international, national, statewide and local arenas.

4. At least three years of demonstrated writing and editing experience for print, broadcast and web based media, including researching and composing articles for newsletters, press releases and websites.

5. Excellent writing skills to compose and edit grammatically correct materials for publication via print, broadcast and web based media. Skill in evaluating and editing a range of written material. Demonstrated ability to edit for organization, content, logic, style, grammar, spelling, and punctuation.

6. Demonstrated skill in collecting and analyzing data for use in written material. Creative and technical writing skills to compose newsletters, brochures, flyers, press releases, department news, program descriptions, department reports, solicitations, articles, funding proposals, analytical reports, recruitment literature and marketing materials.

8. Ability to coordinate the editorial, production, marketing, order fulfillment and printing of publications, including conceptualizing, writing, reviewing, editing, design coordination, layout, printing, proofing, marketing, and shipping.

9. Skill in utilizing computer software including word processing (Word), spreadsheets (Excel) and presentation (Powerpoint). Ability to utilize database applications (e.g. Access). Skill in utilizing multimedia, design and image editing software and web specific applications including Photoshop, and Adobe Acrobat. Ability to learn web related software applications quickly and proficiently. Familiarity with web content management systems, such as Word Press.

10. Excellent oral communication, presentation and public speaking skills with the ability to clearly and professionally articulate ideas, information and opinions and address various constituencies including alumni, donors, faculty and staff.

Skill in establishing and negotiating budgets for publications, acting as liaison and with graphic designers, printers and independent contractors. Skill in selecting and negotiating with a variety of vendors.

19. Skill in establishing and applying sound business and financial policies and practices as based on the University's Business and Finance Codes. Skill in effectively communicating with General Accounting and UCLA Foundation staff.

20. Skill in establishing confidential and secure record-keeping systems so that financial records are easily identifiable, in chronological order, contain complete documentation, and will stand up to an audit.
