What are the responsibilities and job description for the Coordinator, Curatorial position at UCLA?

The Administrative Coordinator, Curatorial provides high-level executive support to the Deputy Director, Curatorial Affairs and Chief Curator, and project and administrative coordination for the Curatorial Department, including coordinating calendars and a high volume of internal and external appointments and meetings; screening, sorting, and responding as appropriate to a high volume of telephone, written, and email correspondence; processing invoices; representing the Curatorial Department to both staff and external constituents with a high degree of efficiency, poise, and discretion; streamlining and implementing Curatorial Department procedures; coordinating travel plans for Deputy Director, Curatorial Affairs and Chief Curator; and corresponding with artists, lenders, and other institutions. The Coordinator also assists the Chief Curator in performing research on and related to the Hammer Contemporary Collection; coordinates art acquisitions; performs research on donors and artworks considered in relation to the Museum's 25th Anniversary; and provides coordination and support to the Museum's Board of Overseers.

Required/Preferred

1. BA in related field (art history or arts) strongly preferred.

2. 2 years experience working as an administrative assistant and demonstrated office and administrative skills.

3. Skill in organizing work, defining tasks, setting priorities, working independently and following through on all assignments with minimal direction.

4. Highly organized, efficient, and attentive to detail, with excellent follow-up skills.

5. Self-starting, resourceful, proactive, and motivated in performing and excelling in responsibilities.

6. Prior art museum experience and knowledge of museum operations, standards, practices, and procedures.

7. Ability to prioritize and adjust heavy workload, manage a variety of tasks, and meet various deadlines with changing priorities, frequent interruptions, and conflicting deadlines.

8. Excellent communication skills, including oral, written, editing, and proofreading. Demonstrated ability to compose routine business correspondence with correct grammar, spelling, and punctuation.

9. Excellent interpersonal skills to interact and effectively deal with artists, outside vendors, and other institutions, as well as a diverse student, Museum and university staff.

10. Ability to discreetly and tactfully recognize and handle sensitive and confidential information.

11. Proven research skills and experience.

12. Skill in using a PC and knowledge of MS Office, including Word, Access, Outlook, PowerPoint/Keynote and Excel required. Familiarity with Adobe Photoshop and Acrobat software required. Mac experience preferred, but can be trained.
