- Pay Range: Negotiable, based upon experience
- Position Status: Full-time, 37.5 hours per week
- Schedule: Monday - Friday 8:30 am - 4:30 pm

Responsibilities
Here’s what to expect as an Administrative Assistant:
- Provide program billing administrative support to Operations team members in a consistent, dependable, reliable, and timely manner.
- Obtain, review, and enter site attendance into Billing System.
- Communicate with managers and supervisors to clarify and resolve missing or incorrect information.
- Assist with outstanding billing for other services as needed.
- Monitor Individuals’ authorizations in HCSIS to ensure validity of billing.
- Review Billing System reports to ensure accuracy of billing.
- Add and maintain Individuals’ records and authorizations in Billing System.
- Review EVV Schedule Reports weekly to identify any potential issues with the transmission of EVV schedules to the aggregator.
- Enter documentation data from various source documents into a computer system.
- Enter appropriate data into computer programs utilizing the billing system, SmartSheets, Excel, MatrixCare, and/or Outlook.
- Provide administrative assistance for the Lewistown office.
- Maintain inventory and order supplies for the office, office equipment, and cleaning.
- Troubleshoot office equipment malfunctions or contact customer service for service calls.
- Assist in the preparation and implementation of meetings, trainings, and celebrations.
Qualifications
Minimum requirements as an Administrative Assistant :
- High School Diploma or General Education Development (GED) Certificate required.
- Associate’s degree or technical certification within a related area preferred.
- 6 months to 2 years of previous job-related experience expected.
- 2 to 5 years of previous job-related experience preferred.
- A valid driver’s license and 6 months driving experience.
- 18 years of age.
- Ability to communicate, read, write, and understand the English language.
Preferred, but not required:
- Knowledge specific to the needs of individuals with intellectual and developmental disabilities and/or autism.
- Experience with Government Relations and Advocacy, Total Quality Management, Volunteer and Donor Relations.
