The UCPath Center is the University of California's shared services center in Riverside, CA. The UCPath Center manages the payroll, benefits, and other human resources transactions for more than 200,000 UC employees working across ten UC campuses, five medical centers, three national labs and more. POSITION SUMMARY

The Production Department administrative officer will work within the UCPath Center, reporting directly to the Production Director. This position handles highly confidential information, and plays an important role in keeping the fast-paced Production department running smoothly, provides administrative and organizational support, and ensures administrative processes are handled timely, accurately and professionally. The administrative officer serves as gatekeeper for the Production Director, and will have regular interaction with Production managers and supervisors. The Production Department administrative officer will work with a high degree of professionalism, tact and discretion to ensure a smooth flow of operations even, at times, under conditions of ambiguity and aggressive deadlines. The incumbent must also be able to demonstrate good judgment in selecting methods and techniques for obtaining solutions. The incumbent must be able to fulfill the demands of this position with a high degree of independence, accuracy, initiative, and sensitivity. This position will coordinate schedules, arrange regular and ad hoc meetings and events, and provide logistical support for the department. The Production Department administrative officer will work closely with internal team members to coordinate and administer department resources, such as space, supplies, equipment and team time.

Responsibilities

  • 20% Functions as a resource on issues such as researching complex financial discrepancies, escalated customer service problems and vendor concerns. Leads department procurement activities and other activities at the direction of the Director.

  • 10% Participates in the development and revision of standard operating procedures and guidelines.

  • 10% Manages performance metrics for department and works with managers, supervisors and other teams to ensure department dashboard is up to date and accrurate

  • 30% Coordinates calendaring activities for Director to include tracking of status and/or minutes of high level meetings

  • 15% Develops and maintains the department schedule of activities and annual planning

  • 15% Serves as an extension of the Director for organizing management activities

Experience
Required Qualifications

  • Min 2 years Fully functioning admin support for a large department or supporting Director level or above who manages a large department.

  • Ability to use sound judgment in responding to issues and concerns.

  • Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing.

  • Solid organizational skills and ability to multi-task with demanding timeframes.

  • Ability to use discretion and maintain confidentiality.

Preferred Qualifications

  • Working knowledge of common organization-specific and other computer application programs.

Bachelor's degree in related area and / or equivalent experience / training

SALARY AND BENEFITS

The University of California, Office of the President, is required to provide a reasonable estimate of the compensation range for this role. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. The full salary range shows the growth potential for this position and the pay scale is the budgeted salary or hourly range that the University reasonably expects to pay for this position.

ADDITIONAL INFORMATION

This position will work a hybrid schedule which includes a combination of working both onsite at the UCPath Center in Riverside and remote in California.
