Job Summary
This Admin I position will work collaboratively with the admin team to provide overall administrative support to the Design department by implementing an efficient workflow between the design department and other departments within our segment. The Admin I is responsible for scheduling and accurately transferring design files between the Design Department to the Production Department. This position will work under immediate supervision; rely on instructions and pre-established guidelines to perform functions of the job. Job functions require the application of critical thinking, problem solving skills and the ability to multitask.
Principle Duties and Responsibilities
- Schedule the Design Department Workload in a strategic manner to ensure deadlines are met
- Accurately transfer data from the Design Department to the Production Department using the MiTek Business Application
- Implementing and Maintaining Organization of Data and Communication
- Prepare reports as requested by management
- Determine ways to streamline processes to implement continuous improvement
- Schedule meetings, document results and follow-up on action steps
- Daily communication with Team Members via MS Teams messaging, email, and phone
- Work with the Design Admin Supervisor to create and maintain standard operating procedures
- Perform other administrative duties as required
Qualifications
Knowledge Required
- Minimum high school diploma with experience in administration
- Minimum 5 years of experience in administration
- Working knowledge and proficiency in the use of computer and business related software, including Microsoft applications (Excel, Outlook, and Word). Moderate knowledge of Microsoft Excel is preferred.
Skills and abilities
- Proficiency in the use of the English language in reading, writing and speaking
- Proficiency in the use of business math
- Ability to successfully communicate clearly and professionally via chat, email and phone
- Ability to maintain professional relationships with co-workers
- Ability to prioritize and organize workload with minimum supervision
- Ability to follow directions and standard operating procedures
- Ability to work hours mandated by management
- Ability to pass a drug test
