The Receptionist serves as a guest ambassador to visitors at Riveredge Hospital. Positively affects customer service to stakeholders through effective switchboard management, lobby milieu management and the smooth implementation of safety protocols. Provides customer service to our patients and visitors in a hospital setting.
Job Responsibilities
Observes proper phone protocols and understands the relationship between Communications and the Assessment and Referral Department.
- Must communicate effectively with courteous phone and interpersonal skills and have the ability to adapt communication to the level of understanding of the patient when needed.
- Maintain a professional appearance and utilize excellent customer service skills.
- Have knowledge of building layout and give appropriate directions.
- Adhere to HIPPA regulations and hospital confidentiality policies.
- Check in-house status of key employees at the beginning of shifts to expedite incoming calls.
Provides excellent customer service.
- Support the image of Riveredge by exhibiting professional, considerate, and empathetic service skills.
- Greet all visitors and staff. Learn the names of staff members and SASS workers.
- Greet and create name tags for visitors and have them sign in.
- Take phone calls as a priority, but assure in-house guests that they will receive prompt service.
- Inform staff when guests with scheduled appointments arrive. If direct line contact is not successful, use personal pager or use overhead paging system. Follow up if staff person is not located within 15 minutes. Give directions if staff asks the guest to be sent to their location.
Problem Resolution
- Resolve customer complaints.
- Partner with the appropriate department for complaints.
- Identify repeat problems and report them to management.
- Maintain decorum in lobby area; call for management back-up if complaints become disruptive.
- Demonstrates Appropriate Verbal Intervention Techniques In A Non-Threatening Manner.
Security in Reception Area
- Accounts for all patients in the reception area at all times.
- Call codes in a timely and appropriate manner.
- Monitor and coordinate ambulance drop-offs.
- Call for assistance if needed.
Miscellaneous Duties
- Accept deliveries of packages, letters and flowers in accordance with HIPPA and hospital policies when receiving goods.
- Assure return of keys by delivery personnel.
- Sign receipt for all deliveries and maintain copy.
- Coordinate Fed Ex out going deliveries.
Qualifications
Job Requirements:
- Excellent verbal communication skills,
- Ability to multi-task in a high stress environment
- Must have 1 year of Customer Service skills
- Must have a High School Diploma
- Bilingual preferred
- Flexible hours may vary and include some weekends
