Under the direction of the section chief/section coordinator, this position supports general administrative operations for the section of Genetics, Department of Pediatrics.
Duties & Responsibilities
Schedule and register patients for Medical Genetics consultations; check-in/check-out patients. Request referrals and clinical records from referring physicians; upload documentation in EPIC. Confirm appointments.
Assist in managing clinic schedule for all providers within the section of Genetics; may also assist with GO-TIME requests and approval process.
Greet and assist visitors; Answer phone calls, take messages, and assist with queries by phone and email; Organize and store information in traditional paper and electronic filing systems; Create and maintain filing systems, both electronic and physical ; Assist with mail/fax communications, review incoming documents, route correspondences, and arrange post and deliveries; Collate and distribute mail
Assist with budgets and expenditure reports, P-cards, Chrome River transaction processing and record keeping.
Assist in preparing and distributing communications, such as memos, emails, reports, news and other correspondence; Assist in writing, editing, and proofreading documents, such letters, memos, reports and manuscripts; Assist in coordinating video conferences
Order supplies, manage stocks, and keep inventory up-to-date; maintain office equipment
Assist in planning special projects, program, grand rounds, conferences, travel, events, etc. Arrange travel plans, itineraries and agendas and compile documents for meetings.
Cross-coverage for Pediatric Endocrinology.
Perform other related duties and participate in special projects as assigned.
