Position Summary / Career Interest: Responsible for the Hospital building access security system, creation of ID badges, granting access to secure areas of the Hospital as appropriate, and monitoring and reporting on unauthorized access attempts. Maintains the database to reflect the active hospital employees, disable access in a timely fashion when employee separation or change in status occurs. Assists in the review of the existing security access program, the goal is standardization of security access within the University of Kansas Hospital and its properties. Ensures work that involves an open flame is closely monitored and complies with the “Hot Work” permit program. Responsibilities: Responsible for the Hospital building access security system, creation of ID badges, granting access to secure areas of the Hospital as appropriate. Maintain the database to reflect the active hospital employees, disable access in a timely fashion when employee separation or change in status occurs. Responsible for the Westwood Campus building access security system, creation of ID badges, granting access to secure areas of the Hospital as appropriate. Maintain the database to reflect the active hospital employees that require access to the Westwood Campus, disable access in a timely fashion when employee separation or change in status occurs. Responsible for granting access to both the main Hospital and Westwood Campus for employees and others as appropriate in a seamless process that is transparent to the ID badge holder. Responsible for the coordination and integration of Hospital ID badge holders to ensure that each individual has the appropriate level of access to all University of Kansas Medical Center buildings and parking structures. This requires extensive coordination with the University of Kansas Police department. Establishes a role based security-provisioning system that will be implemented to provide access to secure areas within the University of Kansas Hospital Authority organization. Integrates this program with the Hospital Human Resources department as new people join the organization. This system will also accommodate non-Hospital employees that have been authorized to access secure areas within the Hospital Authority organization. Responsible for the monitoring and reporting of attempts of unauthorized ID badge holders trying to access secure areas within the Hospital organization. Establish tracking, trending, reporting standards, and frequencies for these unauthorized attempts. With an increased focus on all sensitive areas such as the computer rooms, Pediatric unit, nursery, and interventional procedural areas monitoring for events of concern or significance. Coordinates with Environment of Care, Human Resources, Hospital Maintenance, and Kansas University Police in the establishment of standards for the updating, creation, and distribution of identification badges and security access for the main Hospital and Westwood campus buildings for employees and other authorized people. Coordinates the gathering of information and the preparation of materials necessary for the creating of identification badges and the modifying of security access. Receives and screens all correspondence pertaining to identification badge security access to the University of Kansas Hospital, determining appropriate action. Assists in the review of the existing security access program, the goal is standardization of security access within the University of Kansas Hospital and its properties. Reviews names in Pegasys, verify their employment status is updated and organizational affiliation is properly identified, validates data with the HR Lawson system and University Human Resource department as required. Serves as a customer service interface between department and internal customers. Resolves customer complaints and issues. Assist in the review of new areas that controlled access devices have been planned for installation. Objective to provide operational security access for the occupants of space in an organized and seamless manner. Brings ideas / concerns to supervisor; participates in department decision-making. Daily coordinates and assists others in complying with Hospital Authority “Hot Work” permit program. This program requires everyone with the Hospital that is performing work that involves an open flame, generation of sparks or other sources of ignition to draw a permit prior to the beginning of work and to close out the permit at the end of the workday. This program is an essential requirement of the Hospital Authority risk prevention program in conjunction with the Hospital’s Property Insurance carrier. Coordinates and assists with fire stop permitting program. This program requires the completion of a permit and the submission of documentation of work that is required to be completed to maintain the integrity of all fire and smoke barriers within the Hospital. This is essential to the Hospital in the maintaining continual readiness for JCAHO compliance and with the State of Kansas Fire Marshall and other authorities having jurisdiction. Upon completion of the permitted work, appropriate documentation is maintained and the “As Built” blue prints for that building is updated to reflect the new work. JOB REQUIREMENTS Required High School Diploma or GED and 2 years of successful office/clerical experience, or an equivalent combination of education and work experience. Proficient in word processing, spreadsheet, database, and other applications software. Ability to interact with customers, coworkers, administrators, supervisors and other staff and members of the public from different backgrounds. Must be able to keep information confidential. Preferred Additional education in a related field of study. 1 year of experience with Genetec, Honeywell, Johnson Controls, or similar security/access control systems.
