What are the responsibilities and job description for the Office Administrator position at Ultimate Plumbing and Septic Services?
Responsibilities:
- Serve as the front desk point of contact for all visitors and employees
- Manage incoming and outgoing mail, packages, and deliveries
- Coordinate and schedule meetings, appointments, and conference rooms
- Assist with event planning and coordination
- Perform general clerical duties such as filing, photocopying, and data entry
- Communicate effectively with internal teams and external vendors
- Assist with team management tasks such as scheduling, training, and development
- Manage vendor relationships and ensure timely payment of invoices
- Maintain an organized office environment
collaboratively with other teams to implement solutions that
enhance customer satisfaction.
- Conflict Resolution: Handle escalated customer concerns with
empathy, ensuring swift resolution while maintaining a positive
customer experience.
- Daily Data Analysis: Collect and analyze customer service data
to identify trends and opportunities for improvement, and create
reports to share insights with the management team.
- Training and Development: Conduct training sessions for new
CSR team members and provide ongoing coaching to ensure
their continuous growth and development.
- Quality Assurance: Monitor and maintain service quality
standards, and provide feedback to the team for improvement
- Overseeing general day to day office operation
- Create and be responsible for office coverage schedule and on call coverage schedule
- Mentor and develop communications team to aid in their individual growth
- Oversee training of new communications team and members and additional future trainings of all team members
- Monitor and be responsible for calls and drive to set higher goals
- Handle all incoming calls and emails
Requirements:
- Proven experience as an office administrator or in a similar role
- Excellent organizational and multitasking skills
- Strong communication skills, both written and verbal
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- Ability to prioritize tasks and meet deadlines
- Strong attention to detail and accuracy
- Professional phone etiquette and customer service skills
- Experience in training development is a plus
3 years in leadership role directly influencing employees
- Demonstrate heightened client service skills including controlling a difficult situation.
- Ability to receive and provide feedback from management or a peer and work through any identified opportunities.
- Able to work in a team environment while also time managing individual goals throughout the work day
- Demonstrate a willingness to learn, as well as shows initiative for self-improvement
- Ability to adjust to changing circumstances throughout the business day
- Ability to be organized and have a keen eye for details
- Ability to work with all personality types within the team
- Keep sensitive information confidential
- Ability to have proficient computer skills and implement new softwares to help the business
- Time management skills & have the ability to stay later during the day if needed to
