Job Description

Ultimate Staffing is partnering with an industry leading construction organization based in Elkridge, MD to find an Office Coordinator to join their growing team. As an Office Coordinator, you will be an integral part of our client's team, providing administrative support and coordinating office operations to ensure smooth and efficient workflow. This role is essential for facilitating communication, organizing resources, and supporting project management efforts within the company.

Location: Elkridge, MD

Schedule: Monday-Friday

Pay: $20-$24/hourly based on experience

Responsibilities:

  • Oversee day-to-day office operations, including managing phone calls, emails, mail distribution, and office supplies.
  • Maintain accurate records, files, and databases, ensuring timely updates and accessibility for team members.
  • Assist project managers with scheduling, resource allocation, and coordination of materials and equipment for construction projects.
  • Serve as a point of contact for client inquiries, requests, and updates, providing excellent customer service and support.
  • Coordinate with vendors, subcontractors, and suppliers to ensure timely delivery of materials and services as needed for projects.
  • Schedule and organize meetings, appointments, and site visits for project teams, ensuring logistical arrangements and documentation are in place.
  • Assist with invoicing, billing, and accounts payable/receivable processes, ensuring accuracy and compliance with company policies.

Qualifications:

  • Previous experience in office administration, coordination, or related roles, preferably within the construction or contracting industry.
  • Strong organizational skills and attention to detail, with the ability to multitask and prioritize tasks effectively.
  • Proficiency in Microsoft Office suite (Word, Excel, Outlook) and other relevant software applications.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Flexibility to adapt to changing priorities and deadlines as needed.
