Position Summary
The Purchasing Specialist performs duties associated with the administration of the
purchasing/product procurement processes. Thorough working knowledge of
purchasing policies, processes, and procedures are required. The Purchasing
Specialist performs a variety of complex purchasing, administrative, and operational
duties to support the procurement needs of the Tribe with an emphasis on event
support. The Purchasing Specialist must routinely use good judgment and high ethical
standards while communicating with internal and external contacts, offices, and
organizations. The Purchasing Specialist must consistently employ tact, diplomacy
and exemplary teamwork skills during the course and duty of their responsibilities.
Summary of Job Functions
Essential Functions
- General focus on event related purchasing of goods and services
- Reviews purchase order (PO) requests submitted for proper completion and
authorization
- Conducts research on pricing for purchasing requests and place orders for
approved items
- Processes PO requests from various departments
- Enters new products in GP and reviews inventory
- Places inventory orders and coordinate delivery with vendors and department
heads
- Performs inventory analysis to forecast demand and establish sufficient reorder
points for inventory
- Acts as the liaison between vendors and departments to coordinate and confirm
event details, including delivery & pick-up times, drop-off locations, and order
- Analyzes open order reports and follows up with vendors on current status
