We are seeking a dynamic and detail-oriented Administrator to join our team and support our regional efforts. The ideal candidate will possess superior organizational skills, exceptional attention to detail, and effective communication abilities. Responsibilities:
Create daily cost logs and ensure timely submission to the customer for approval.
Track and obtain proper documentation of additional items to be billed to the customer (hotels, change orders).
Upon approval, enter billing information into the Spira system or send it to Head office for processing.
Prepare Daily Summary Reports, Daily Manpower Report, and other assigned reporting.
Enter employee hours from the Sign/In/Outs sheet into Spira.
Collect and prepare payroll information and ensure timely submission to payroll within payroll timelines.
Ensure accuracy of payroll summary from Spira and staff invoices.
Perform data entry and ensure data integrity in financial systems.
Coordinate with various departments to gather necessary financial information.
Qualifications:
Bachelor’s degree in Finance, Accounting, Business Administration, or related field.
Proven experience in administrative roles, preferably in a finance-related setting.
Strong understanding of financial principles and terminology.
High level of productivity and ability to consistently deliver high-quality work.
Proactive attitude and willingness to take initiative.
Excellent organizational and time management skills.
Exceptional attention to detail and accuracy.
Exceptional computer and organizational skills are required along with three to five years of administrative experience.
Proficiency in Microsoft Office suite, especially Excel and PowerPoint.
Excellent communication skills, both verbal and written.
Ability to work effectively in a fast-paced environment and manage multiple tasks simultaneously.
Demonstrated ability to work independently and collaboratively within a team.
