Program Associate Processing Operations

The Processing Operations Program Associate is responsible for supporting the programmatic and administrative functions of the Processing Operations Department. Primary functions include: administrative duties related to the processing of refugees, review of family reunification applications as well as other general office and support functions. The Program Associate supports the work of the Bishops’ strategic plan for the Conference and demonstrates shared qualities of effectiveness in all work interactions.

Processing Operations Office Coordination and Support

• Assists the USCCB processing team with administrative responsibilities as needed including: verification follow-up with sites, submitting assurance waiver forms to RPC, submitting updated UST information to RPC/RSC

• Processes walk-in SIV applications

• Saves and uploads medical forms for refugee cases

• Supports Family Reunification staff with review and submission of P3 AOR, P2 and CAM applications, as needed

• Provides data entry support to the Family Reunification staff, as needed

• Manages segment logistics and prepares materials of internal and external events such as conferences, webinars, trainings, national meetings, staff retreats, staff meetings, including travel arrangements, registrations and shipment of materials

• Assists in the creation and updating of PO program manuals

• Creates reports through internal data systems (MRIS, Term) for funders and network

• Updates and prepares orientation materials for new PO staff

• Provides back-up for refugee travel and family reunification team member functions, as needed

• Oversees organization and maintenance of SharePoint and Teams Files as it relates to PO

• Works with PO team to prepare and submit content to the Resettlement Connection, a weekly newsletter for refugee service providers.

• Assists the Remote Placement Program with review and distribution of RPP Resettlement Connection Newsletter

• Creates Qualtrics surveys for MRS network, as needed; leads collation of data post-submission

• General Administrative Support as needed

• Other duties as assigned

Level: Bachelor’s degree or equivalent related experience or combination of college level course work and related experience.

Major Field/Specialty: Social Work, Program Administration, other related field.

Number of Years Required: Minimum of 3-5 years of related experience

Can be remote but must live in the DMV
