Uniting Voices Chicago provides transformative programs through partnerships with over 80 schools, 12 community-based after-school music programs, Dimension, an ensemble for singers with changing or changed voices, and the world-renowned Voice of Chicago. As a national and international touring ensemble, Uniting Voices Chicago has performed for dignitaries such as former President Barack Obama, Nelson Mandela and former Chinese President Hu Jintao and with artists such as Chance the Rapper, Yo Yo Ma, Andrea Bocelli, Beyoncé and Celine Dion.

Uniting Voices Chicago is a civic treasure and model for urban music education with more than 75 percent of youth able to access its programming free of charge.

About the Role

The Operations Associate provides administrative and logistical support for the activities of Uniting Voices. This person manages Uniting Voices’ downtown Chicago office and serves as the first point of contact for the public. They combine the human touch and the use of technology for effective operations. The ideal candidate is meticulously organized and takes pride in creating a welcoming and functional space. Reporting to the Chief Operating Officer, the Operations Associate finds joy in supporting a broad range of staff and stakeholder needs.

Note: This is an in-person role, five days a week, with reasonable flexibility.

Key Responsibilities

Office Management

  • Serve as liaison to the Chicago Cultural Center/City of Chicago Department of Cultural Affairs and Special Events to manage facilities (reserving and setting up rooms, attending building meetings, managing keys and fobs, etc)
  • Maintain and manage purchase of all program and office supplies including leased equipment and maintenance agreements
  • Collect and distribute office mail
  • Coordinate both on-site and off-site storage
  • Ensure organization and cleanliness of space, coordinating with building maintenance as needed
  • Coordinate print jobs and supply pick-ups for field staff
  • Manage staff parking passes

Operations

  • Serve as first point of contact for all organizational inquiries; answer main phone line and respond to info@unitingvoiceschicago.org emails
  • Support Marketing team through a rotating schedule for social media monitoring and engagement
  • Work with VP, Finance toward collecting receivables through outreach to customers
  • Support human resources functions, such as job postings, onboarding and offboarding needs, staff celebrations such as birthdays, work anniversaries, and parties
  • Coordinate supplies needed for tours and concerts

Systems Support

  • Manage relationship with IT managed services provider; assist staff with technology-related matters including hardware purchases and software licensing
  • Serve as administrator of Google workspace
  • Serve as power user of Salesforce, the organization’s unified customer relationship management system; update user accounts, build events, update program registrations, manage payments, merge duplicate accounts, etc.
  • Serve as liaison between Salesforce users and external consultants; secure supplemental support for new features, customizations, integrations, reports and dashboards as needed
  • Maintain program participant data and communication groups

Qualifications

  • Minimum of 2 years of administrative experience
  • Impeccable organization, initiative and adaptability
  • Prior use and proficiency with Salesforce
  • Familiarity with Google Suite and comfort in utilizing new technologies
  • Strong public service focus and cultural competence
  • Spirit of service and joy in mobilizing staff, singers, families, partners, supporters toward shared success
