Administrative Assistant
Interpret department and corporate policies and procedures. Gather, compile and maintain data. Coordinate special projects.
What You'll Do :
- Prepare correspondence, statements, and reports with some direction, shipping statements and invoices.
- Responsible for standard office procedures, sort, prioritize and distribute mail, order supplies, and answer phones.
- Respond to customer inquiries.
- Arrange and coordinate meetings and conferences with all levels of employees.
- Gather, compile and maintain data, files, record systems.
- Maintain budget records, prepares check requests and response memos.
- May make meeting or travel arrangements.
- Receive and place telephone calls, greet callers, prioritize and handle / forward messages in supervisor’s absence.
- Special projects as assigned.
What You'll Need
- High school diploma or equivalent required. College degree preferred.
- Five years minimum administrative / secretarial support experience required
- 3-5 years Accounting experience (invoice and shipping)
- Excellent verbal and written communications skills including strong skills in English usage, spelling, grammar and punctuation
- Strong customer service skills and experience with problem resolution
- Self-motivated and dependable
- Strong organizational and time leadership skills
- Ability to work effectively and respectfully with all levels of personnel
- Good analytical skills, detail oriented
- PC skills and knowledge of various software, including word processing, spreadsheets, and presentation software. Microsoft Office experience required
- Ability to work well under pressure. Capable of prioritizing diverse workload with conflicting time sensitive deadlines from various staff and supervisor
