POSITION SUMMARY:
The Office Administrator is responsible for maintaining the company’s operations by creating and following processes that guarantee the correct functioning of the business on a day-to-day basis. The office administrator will ensure that the work space & human resources, customer service, administrative & financial duties, are fulfilled correctly in a way that the business becomes an environment where employees, independent contractors, third party partners and customers align with the company’s mission, vision, and core values through the correct running of these daily activities.

PERFORMANCE OBJECTIVES:
· Create a professional and engaging office space.
· Prepare numbers from previous day results related to the business operation and financial results for the Everyday All Team meeting hosted in the office conference room Monday through Friday at 8:45am.
· Schedule measures, installs, and services with customers via phone call daily.
· Elaborate, communicate and control daily schedules and activities for independent contractors, measure and service technicians on a daily basis.
· Resolve customer questions and issues via phone call prioritizing it by urgency and importance.
· Collect and review all the information and documentation is correct to create new customer project folders
· Communicate with the outside sales department leadership any issues found in customer’s projects to get them solved within 24-48 hours from the date of sale.
· Order product efficiently ensuring strict attention to detail by following company’s ordering guidelines.
· Follow up with product expected delivery dates status and its logistics.
· Control that the products are installed within 10 days of its delivery to bring consistent cashflow.
· Control company’s inventory of administrative supplies and projects related materials. Verify invoices are paid before due date.
· Collect and review installers, measure technician, and service technician’s paperwork, deposits, final payments and invoicing (if the case).
· Process and track payments via bank account or financing partners portals within 24 to 48 hours of completed installation date unless delayed collection is approved by company’s president.
· Prepare installers and outside sales reps’ payroll by Monday 3pm of payroll’s payment week.
· Support marketing department by setting qualified appointments through inbound calls or outbound previous customers calls (incentive metrics).
· Track Google Customer Review Employee Incentive using company technology and deliver rewards to the proper employees.
· Track Destination Motivation vouchers and ensure its delivery when customer’s project is completed and collected.
· Ensure that the milestone grid for current open projects in the pipeline are following the expected completion dates by milestone.

EDUCATION & EXPERIENCE:
· Microsoft Office Suite experience (minimum 2 years)
· General QuickBooks knowledge
· Office Administration experience (minimum 3 years)
· Customer Service experience (2 years)
PHYSICAL REQUIEREMENTS:
· Prolonged periods sitting at a desk and working
· Ability to stay on the phone for long period of times
· Ability to move around office spaces and warehouses
· Ability to lift up to 20 lbs. of weight
