Position Summary:

The Geophysical Institute (GI) seeks a dynamic, engaging and knowledgeable Fiscal Analyst to join our team! This position is crucial in the infrastructure of the GI Business Office and will work closely with the GI fiscal managers on the creation and management of reporting systems and processes for the GI Business Office. The fiscal analyst will work with GI Business Office staff, researchers, and GI computing, to develop reporting tools to assist in the fiscal management and success of the unit as well as plan, forecast and analyze financial data of the GI and its units. The Fiscal Analyst is a vital part of the GI and supports GI scientists and researchers who are contributing to research in all areas of Earth science.

Duties:

1-40Primary responsibility for creation and management of reporting systems and processes for the GI Business Office. Work with GI Business Office Staff, PI's, GI Computing, to develop reporting tools to assist in managing administrative and programmatic functions. Assists in preparation of monthly management reports, including expenditure (labor and non-labor) and revenue (state appropriation, misc. revenue, and indirect cost recovery) projections to MAU. Prepare ad hoc reports for analysis and review as needed by institution management, funding agencies, and others as required. Prepare annual continuation budget. Plan, forecast and analyze financial data of large research institution. Collaborates with GI Executive Officer and Fiscal Manager in the development of short- and long-term strategies for the institution in restricted and unrestricted fund management as well as assess personnel feasibility. Implement accounting processes and structure to facilitate strategies. Requests and verifies reports prepared by subordinates.Essential
20Accounting Functions Unique to GI. Serves as backup for the Fiscal Manager including: extending and modifying existing fund numbers in FTMFUND to facilitate restricted award management. Oversees GI’s fund number assignment and directly invoices funding agencies on complex restricted contracts as needed (e.g., NASA contracts that have special reporting requirements and special handling.) Reconciles GI's EDEP depository and 0288 GI A/R balance sheet accounts. Responsible for the finalization of cashiering sessions including deposits to GI's FNBA depository. Approves and manages close-out procedures for GI awards that this position invoices and GI manages separately from OGCA. Established and manages financial activities of three enterprise centers (Alaska Satellite Facility and Data Logger Enterprise Centers). Responsible for the oversight, approval, and management of GI's journal voucher feed-file system to SW PROD. Responsible for the financial approval for labor redistribution and direct keying of these labor redistribution onto BANNER's PHAREDS.Essential
3-20In coordination with the Fiscal Manager, provides supervision of grant/fiscal managers. Monitors grant/contract activity and provides management information regarding researchers funding. Ensure proper close-out of completed awards. Review and approve all paperwork submitted to OGCA for award establishment. Develops fund/org matrixes for complex restricted contracts (Alaska Satellite Facility $9M annual budget and Poker Flat Research Range $3M annual budget) for reporting purposes to funding agency and internal program management. Approves directly on BANNER's Sensitive Account Code Workflow module any activity pertaining contracts directly billed by this position.Essential
4-20Train business office personnel responsible for restricted and unrestricted fund management/accounting. Provides technical support, mentoring, and training as needed to all GI Business Office staff.Essential

Knowledge, Skills, Abilities:
  • Strong demonstrated understanding of Banner Finance tables and ability to utilize querying and reporting tools to access data and create reports.

  • Demonstrated, planning, problem solving, and decision-making skills and the ability to plan, coordinate, forecast and analyze financial data.
  • Computer experience including budget spreadsheets, database management, and report building.

  • Must be a self-starter and demonstrate initiative and prompt decision making processes

  • Demonstrated experience with customer service and problem solving.

  • Maintain confidentiality.

  • Ability to communicate effectively both orally and in writing.

  • Ability to plan, problem solve, and make decisions that provide the most efficient and tactical path forward.


Typical Experience:
Bachelor's of Accounting/Business Administration or related field or equivalent combination of training and experience necessary to comprehend the complexities & problems of an active University Research Institute.

Required Education or Training:

3 years progressively responsible experience (combined fiscal, business management or related fields) or an equivalent combination of training and experience. Experience with accounting theory and analysis.



Salary Information:

This position is a full-time, Grade 80, continuing, exempt, 12-month position complete with a competitive salary and UA employee benefits package. New hires will be placed on the UA staff salary schedule, based on education and experience.
