Position Summary:

As a Human Resources Coordinator with UAA Shared Services, you’ll proactively carry out a variety of day to day HR technician tasks and processes in the areas of recruitment and hiring as well as process current employee assignment changes requested by the departments we serve. You'll answer questions, complete forms, route documents for signature, provide customer service to and serve as the point of contact between UA Human Resources and the Anchorage campus' academic and administrative departments so they can carry out the university's teaching, research, and public service missions.

Duties:

40Complete data entry of position descriptions for new positions and revised positions. Provide examples of job classification families, position descriptions, job postings and screening documents. Serve on staff search committees as requested. Act as point of contact between search committees, the college, department, unit and Human Resources regarding recruitment procedures and required approvals. Create and maintain recruitments from approved position descriptions and serve as point of contact for status updates of applicants and candidates. Ensure timely completion of human resources onboarding process including background check initiation, new hire paperwork completion, appointment letters and job forms for all employee classes. Support H1B visa process in coordination with HR. Set up Glacier accounts for international hires to gather foreign national tax information. Register new benefitted employees for HR Benefits Orientation. Initiate relocation allowance form for new hires. Provide instructions to new employees regarding timesheet completion and submission deadlines, email lookup and direct deposit setup.Essential
5Monitor timesheet processing. Maintain timesheet approvers and supervisors in Banner, provide time entry and time approval instructions to employees and approvers. Remind employees and approvers of upcoming deadlines. Assist employees with late and revised timesheets.Essential
55As Human Resource Coordinator for assigned customers, perform all Human Resources related actions in support of recruitment, hire, and ongoing employment related actions and processes for all employment classes. Complete forms to initiate or change compensation and personnel actions for all employment classes per UA System HR, Board of Regents, and Collective Bargaining Agreements (CBAs) policies and procedures. Issue appointment letters and ensure compliance with CBAs. Provide customer service to and serve as the point of contact between university colleges, administrative units or departments and Human Resource Services. Research issues related to employee assignments and advise customers on possible solutions. Answer questions about Human Resources processes within the scope of the HR Coordinator function. Attend college, unit, or department meetings as requested by leadership to discuss personnel and HR actions related to the HR Coordinator function. Attend regular HR system office trainings and information sessions to stay current in university policies and procedures.Essential
  • The UAA Shared Services HR Coordinator Team supports colleges and administrative departments at the UAA campus by providing transactional HR services as defined by the University of Alaska Human Resources System Office policies and requirements. We'll rely on you to advise departments on the best practices established by UA HR and to answer questions about HR policies and procedures related to department and college level HR transactions.
  • You'll respond to the University's colleges, departments, and administrative units by proactively carrying out a variety of day to day HR technician tasks and processes in the areas of recruitment and hiring as well as process current employee assignment changes.
  • To thrive in our team environment, you should be customer service oriented, have strong interpersonal communication skills, with a willingness to learn from team mates and through regular training. You should be able to complete error-free forms on deadline by using information from multiple sources. Responsibilities range from processing routine but detailed forms and paperwork to
    brainstorming as part of our team on how to tackle a new process or task.
Knowledge, Skills, Abilities:
  • Knowledge of or ability to learn human resources best practices.
  • Knowledge of methods of organization, research, and problem solving.
  • Ability to comprehend written material from multiple sources and interpret and apply university policies, rules, and regulations relating to human resources functions.
  • Ability to exercise good judgment in complex situations, propose viable solutions to problems, and make responsible decisions.
  • Ability to implement policy changes and explain processes and procedures to client group.
  • Ability to communicate effectively, both verbally and in writing, and to organize and communicate facts and opinions with a focus on customer service.
  • Ability to establish and maintain effective working relationships with individuals and groups and to work collaboratively as a member of a team or team lead both in person and remotely.
  • Ability to adapt to an evolving work environment.
  • Ability to focus on routine but highly detailed forms with high attention to accuracy under regular deadlines.
  • Skilled in standard office software and platforms including word processing, mail merge, and spreadsheet use.
  • Ability to learn a variety of electronic forms, applications and software suites (Microsoft Teams and Google Suite applications) for paperless processing and remote work.

Typical Experience:
One year college coursework in human resources and two years of technical human resources experience, or an equivalent combination of progressively responsible training and experience.

Salary Information:

This is a full-time, 12-month, non-exempt staff position complete with both a competitive salary and full employee benefits package. New hires will be placed on the UA staff salary schedule, Grade 77, based on education and experience.
