Departmental Overview

This role is part of the Berkeley Discovery team within the Division of Undergraduate Education (UE). UE is led by the Vice Provost for Undergraduate Education (VPUE) Oliver O'Reilly and consists of the Immediate Office of the VPUE as well as seven reporting units. UE engages the campus on vital academic initiatives that enrich the UC Berkeley undergraduate experience, one of which is the Berkeley Discovery Initiative.

Berkeley Discovery is a campus-wide effort to transform undergraduate education at Berkeley. Discovery aims to build a student experience where all undergraduates CONNECT to people, communities and resources that foster a sense of belonging; THRIVE intellectually in a curriculum filled with innovative, active teaching and learning; IMMERSE in mentored Discovery projects that demand self-direction, iteration, and applied learning; and REFLECT on what they've learned and be set up for a lifetime of purposeful, impactful reflection.

Job Summary

This position will help coordinate and oversee a suite of technology tools housed in the Discovery Hub. The Discovery Hub provides a range of programming (in person and online) to foster student creative agency and participation in immersive hands-on projects as student researchers, community leaders, artists and entrepreneurs. It also offers wayfinding resources, including innovative technology tools, that help students connect to opportunities and resources across campus. The flagship technology tool is a "Discovery Opportunities Database," launching in pilot mode Fall 2022. This database will be a central source for Discovery opportunities from across campus, including research positions, public service opportunities, student clubs, and avenues to engage with creative and entrepreneurial communities. This position will lead engagement with this database's vendor, campus units participating in the pilot, and additional units relevant to the database. This position requires a unique combination of skills in service design for information systems, data management (working with spreadsheets, analysis and cleaning of data, working with reporting dashboards), and the people skills to build lasting relationships and work processes with partner units across campus. We are delighted to be offering this new service to students and look forward to welcoming a Discovery Web Tools Coordinator on board to shepherd its usage and growth. Together with the Discovery staff, this position will be responsible for developing and executing strategies for growth and engagement with the new database and other Discovery tools that are planned but not yet in development.

This position reports to the Assistant Director of the Discovery Initiative. This position is a 2-year contract with the possibility for extension.

Responsibilities

Lead all aspects of the Discovery Opportunities Database: pilot, development, maintenance, growth and institutionalization.

Serve as primary point of contact for the database vendor in terms of implementation, ongoing maintenance, problem-solving, and areas for growth.
Lead stakeholder engagement with campus units taking part in the database pilot and develop a stakeholder engagement plan for expansion of the database.
Lead database testing, training and user experience efforts.
Serve as a thought partner with Discovery leadership in how to configure the database for current needs and future growth and how to solicit participation and demonstrate its value.
Develop processes and protocols for ensuring data integrity, reminding units to enter/update opportunities and reporting and analyzing participation data.
Work with vendor and campus partners to set up necessary integrations (e.g. SSO authentication, API, RSS feeds). Answer user questions and report bugs to vendor.
Develop/run reports and track metrics, work with assessment specialists and others to use metrics from the database to inform decisions and solutions for the Division and campus
Serve as campus-wide coordinator for current and future Discovery Tools and Discovery-adjacent tools

Foster relationships with counterparts in other campus units who support student-facing systems and database/technical solutions (curriculum management system, Berkeley Online Advising (BOA), Salesforce for advising, CalAnswers, bCourses, OurBerkeley, CalAlumni, etc) to share and develop best practices and coordinate in supporting students.
Support Discovery leadership with developing an implementation plan for a "discovery student profile & portfolio" system. This may include eportfolios and mentor-matching software, among other features. We see this component of the discovery tools suite as particularly important for helping students meet prospective peer collaborators, faculty & staff mentors, and carry out effective storytelling of their discovery experiences for the broader public, graduate schools, and potential employers.
Seek out other new tools that support the student discovery experience.
Work with Discovery and UE staff to create a communications plan for spreading the word about Discovery Tools to students and staff. Create slide decks and/or one-pagers to describe the Discovery Tools ecosystem and its components, and how Discovery Tools serve students and campus units.

Work with UE Assessment Lead to develop assessment protocol for discovery database, eportfolio and any other Discovery Tools, assessing the experience of student and staff users. Based on assessment outcomes, develop recommendations for enhancements, growth and/or additional process or policy components.

Other duties as assigned.

Required Qualifications

Knowledge of common computer application programs, specifically the Google Suite.
Experience manipulating and analyzing large amounts of data in spreadsheets.
Strong communication and interpersonal skills to communicate effectively, both verbally and in writing.
Experience with managing projects across units or divisions.
Ability to use discretion and maintain all confidentiality.
Analytical / problem-solving skills in both technical and interpersonal arenas.
Strong skills in analyzing, researching and synthesizing large amounts of data for preparing sound and relevant proposals / analyses
Ability to multi-task with demanding timeframes.
Attention to detail.
Bachelor's degree in related area and / or equivalent experience / training.
Preferred Qualifications

Experience using databases or campus-wide information systems.
Experience working on projects or initiatives with campus-wide impact.
Experience analyzing, creating and/or responding to policy.
Experience influencing without authority.
Salary & Benefits

This is an exempt, monthly paid position. The annual salary range of the position is $80,000.00-$100,000.00, commensurate with experience.
