Hiring Range

The University of California, Merced is required to provide a reasonable estimate of the compensation range for this role. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. The full salary range for this position is $22.75- $30.60. The budgeted salary or hourly range that the University reasonably expects to pay for this position is $25.36- $26.00.

About the Job

Under the general supervision of the Assistant Dean for Personnel for the School of Social Sciences, Humanities, and Arts (SSHA), the SSHA Academic HR Coordinator provides professional, analytical, and administrative support related to SSHA Personnel and Academic Personnel functions.

Duties include learning Academic Personnel processes, preparing oral, written, and digital communications; records management; maintenance of various calendaring needs; logistics and preparation of meeting materials; interaction with various campus information systems supporting business needs; maintaining departmental records and supporting departmental personnel processes; preparing reports and maintaining pertinent files and other required records; providing business services and general administrative support. Works on operational and/or procedural assignments which are moderately difficult, requiring judgment in resolving procedural issues. Tasks may involve the handling of confidential information. Makes recommendations to improve processes and/or procedures.

KEY RESPONSIBILITIES

  • This entry-level position will learn to use professional concepts to resolve problems of limited scope and complexity while working with the SSHA Personnel unit. These concepts are all connected to the functions of the personnel process and tie to the recruitment, appointment, hiring, merit, appraisal, retention, and promotion actions within the School of Social Sciences, Humanities and Arts. This includes supporting recruitment and review committees by creating Alpha Keys identifying referees; completing payroll documents for review by supervisor; Assists with organizing SSHA personnel data via a variety of administrative records management to include, collecting and entering data for personnel actions, uploading documents into relevant systems; filing; working with the Assistant Dean of Personnel and staff to develop and document internal processes and procedures; tracking sabbatical and other leaves, teaching releases, appointments, and personnel actions on shared worksheets; updating data on CatDrive, Box, and other campus systems; assist with preparing reports and statistics based on information compiled from various sources.
  • Using knowledge of Academic Personnel processes and procedures, serves as the first point of contact for the Academic Personnel office to resolve general inquires, or escalates to the appropriate staff as necessary. Updates and maintains organizational charts, workflow documents, and web pages. Reviews existing web content and ensures accurate information and makes recommendations for updates and improvements.
  • Coordinates scheduling of faculty candidates or other recruitment visits, and may assist with recruitment process as necessary. Support SSHA Personnel through the scheduling of meetings and archiving of related documents; updates and organizes Box folders, books conference rooms, communicates with staff and faculty regarding schedules, etc. Manages supervisor's calendar(s), which may require reserving space and coordinating with various constituents.
  • Prepares correspondence and communications, including drafting letters of appointment. Prepares/sends communications on behalf of SSHA Assistant Dean for Personnel. Collects responses and files for appropriate record keeping.
  • Drafts and submits various staff, academic HR, IT or purchase requests through various campus systems, including but not limited to JDX Job Builder, eDoc, Service Now for CBS2 and IT tickets.
  • Other duties as assigned, and administrative support as needed.

Qualifications

EDUCATION and EXPERIENCE

  • Bachelor's degree and the skills, knowledge, and abilities essential to successfully performing the duties assigned to the position, or four years of directly related, progressively responsible experience in a related field. (Required)

CRITICAL KNOWLEDGE AND SKILLS

  • Knowledge and understanding of basic Human Resources concepts.
  • Working knowledge in administrative procedures and processes, including word processing, spreadsheet, and database applications. Demonstrated ability to operate PC with software for Microsoft Outlook, Word, Excel, Publisher, and other programs as needed.
  • Requires strong verbal and written communication skills to convey information accurately, clearly, and concisely as well as strong active listening and critical thinking skills. Must be able to multi-task and possess excellent time management skills. Ability to communicate effectively and diplomatically with people from a wide variety of ethnic, social, and educational backgrounds. Skill in writing logical, concise and grammatically correct documents and procedures, and instructions.
  • Ability to work independently and with a high degree of accuracy. Ability to maintain clear and complete records. Demonstrated skill in setting priorities under conflicting demands of time to reflect organizational goals; ability to work with frequent interruptions and deadlines.
  • Demonstrated ability in utilizing information systems.
