Department Overview

Position Summary
This role provides executive level support, including administrative analysis and complex meeting arrangements to the CISO and UCOP CIO, and may occasionally assist other leaders.

Examples include: Schedule meetings, which may involve participants from multiple university campuses, vendors, and/or clients and business partners. Help prepare and distribute meeting materials. May be asked to handle facility, equipment, and catering needs. Attend weekly meetings, facilitate, create agenda, take high level notes, follow up on tasks. Conduct special projects, providing data analysis, developing report layouts, editing materials, and assisting with compiling or reviewing documentation. Maintain department information on staff positions and recruiting procedures. Submit travel requests, make travel arrangements, and prepare reimbursement reports.

Key Responsibilities

25% Oversees and ensures the daily administrative operations run smoothly for the Chief Information Security Officer collaboratively and with a flexible and positive attitude. Participates in the development and implementation of efficient and effective systems for managing information, projects, and communications to ensure accurate and timely responses.

25% Functions as the gatekeeper, works collaboratively and with understanding the responsibilities of the Chief Information Security Officer, ability to independently prioritize, plan and coordinate meetings and events. Coordinate on-site and off-site meetings involving multiple parties including site selection, food, lodging, travel and facility reservations. Manage complex business travel in compliance with UC's policies and practices, prepare expense reports in UC's Concur system, and makes appropriate and cost-saving recommendations.

25% Compose correspondence; develop, review and edit presentations and documentation; independently research and analyze associated issues and/or compile materials needed for presentation and/or decision making purposes. Briefs executives on deadlines and the status of pending issues. Organizes ad hoc committees appointed by the executive on a broad range of issues. Investigates issues and problems; drafts and prepare responses to urgent requests.

25% Manage department website, SharePoint, Box site(s) and other websites as needed. Prepares responses to urgent divisional requests on behalf of the executive. Prepares confidential reports for senior staff, systemwide and other officials. Makes high level contacts of a sensitive nature, internally and externally requiring discretion and diplomacy. Handles the details of a variety of matters on behalf of the executive. Implements related business processes.

  • Min 5 years of relevant work experience.

Required Qualifications

  • Organizational skills to prioritize and manage a high-volume workload, as well as the ability to complete multiple complex projects in an accurate and timely manner.
  • Demonstrated ability to handle interruptions/changes.
  • Proficiency with PC; knowledge of MS Office (Word, Excel, Outlook and PowerPoint), Box, Smartsheet, DocuSign and Adobe Acrobat Professional.
  • Demonstrated solid analytical / problem-solving skills.
  • Political acumen and sensitivity to the differing perspectives and political circumstances within all levels of the organization as well as the Office of the President and external constituencies.
  • Strong service orientation.
  • Ability to communicate effectively with all levels of staff, executives, and external constituencies, both verbally and in writing.
  • Ability to multi-task with demanding timeframes.
  • Ability to use high-level discretion and maintain a high level of confidentiality.

The University of California, Office of the President, is required to provide a reasonable estimate of the compensation range for this role. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. The full salary range shows the growth potential for this position and the pay scale is the budgeted salary or hourly range that the University reasonably expects to pay for this position.
