DEPARTMENT OVERVIEW

Under the Division of Humanities and under the direction of the Administrative Manager and the Department Chair, the incumbent has responsibility for the academic advising, and administrative support for the Department of Languages and Applied Linguistics (LAAL) for two Bachelor of Arts Undergraduate Programs; (1) Spanish Studies and (2) Applied Linguistics and Multilingualism, a minor in Spanish Studies and a certificate in TESOL (Teaching English to Speakers of Other Languages). The department employs eight senate faculty members and thirty-plus non-senate faculty members. The department offers instruction in thirteen different languages.

Receives assistance on more complex issues.

Salary Information: Salary Range: $55,000 - $65,000 / Annually. Salary commensurate with skills, qualifications and experience.

JOB DUTIES

35% -
  • Applies professional concepts to independently provide prescriptive advice and assistance to students on academic and degree progress and major requirements for the department / school / college. Makes recommendations to faculty and students involving breaches of academic integrity and violations of student conduct codes. Advocates for student interests related to the degree program.

15% -
  • Monitors and evaluates students' completion of academic requirements. Tracks degree requirements and monitors student progress. Signature authority for pre-approved course substitutions, waivers, minor / major declaration petitions, re-admissions, extension of enrollment, etc. Confirms satisfaction of requirements to graduation.

10% -
  • Assists students in determining a major, alternative academic options, and addressing scheduling conflicts, and similar issues. Advises prospective and current students in both BA programs, minor and certificate program on pre-requisites, admission requirements, degree requirements and course selection; policies and procedures related to declaring, catalog rights, graduation, senior comprehensice requirements and educational opportunities.

  • Advises department on scheduling needs for student course progression and requirements completion. Responsible for the course scheduling of all language courses. Solicits scheduling preferences, identifies scheduling conflicts and problematic class sequencings. Suggests actions to resolve conflicts adhering to Committtee on Education Policy (CEP) guidelines and campus and divisional policies, Mediates with instructors.
  • Utilizing course enrollments and student data, anaylzes data to develop short- and long-range curricular plans. Briefs faculty on policies and procedures related to enrollment management, and scheduling of classrooms. Utilizes the Academic Information System (AIS) to monitor student progress and its associated reporting system, Infoview, and databases to project and manage enrollment, participate in curricular planning to support timely progress to degree completion and monitor student progress. Assists with the development and preparation of the annual catalog copy. Uses campus software to assist with management of online course evaluations.

  • Identifies student needs for programs and services. Assesses needs and refers students to other campus units and services as appropriate (registrar's office, colleges, student services, Title IX officer, Academic Assessment Grievance Committee, psychiatric services, etc.). Refers students to non-academic resources as appropriate.

  • Applies articulated courses to program / degree requirements and certifies degree completion. Advises transfer students on major requirements, articulation agreements with community colleges, and the application of courses taken elsewhere that meet major requirements.

  • Advises on moderately complex issues such as multiple degrees, or withdrawal from the University. Coordinates and presents informational advising workshops on major requirements, declaration process, and senior comprehensive exam options.

  • Communicates and exchanges information with other units of the organization and makes referrals to help students with their academic program (e.g., health service, disability resource center, Colleges / Schools, transfer center, academic departments, graduate division, etc).
  • Coordinates programs and services with other campus programs in the areas of retention and outreach (Ethnic Resource Centers, Equal Opportunity Program, EAP, services for Transfer and Re-entry Students, Bridge Program, Counseling Services). Advises students in developing post-baccalaureate objectives including graduate school and/or career paths.

  • Provides information to students on programs with special, clearly articulated eligibility requirements such as honors programs, awards, fellowships, scholarships, and advanced level courses. Develops and maintains web pages using UCSC defined protocols.
  • Coordinates undergraduate student awards and honors processes in recognition of undergraduate research and achievement. Advises students on award application and selection process, reviews submissions to organize for faculty review and apprises faculty of any issues or exceptions, and identifies which students fall within the scope of approved honors criteria. Represents the department at outreach and recruitment activities, orientation sessions, advising workshops, and other group and individual advising activities. Collaborates with staff from Office of Admissions and Humanities Dean's Office regarding campus outreach opportunities and events.

  • Plans undergraduate student events in collaboration with Department Chair and Faculty Undergraduate Director. Plans spending within an allocation, ensures that logistics for the events are in place, attends to support and participates as appropriate.
  • Facilities the Miriam Ellis International Playhouse Production during Winter and Spring quarters; work closely with producer and directors. Responsible for all aspects of advertising, parking, reimbursements, room reservations, scheduling of videographers, signage, vendors, etc.
  • Effectively form and sustain mutually beneficial relationships and alliances to share knowledge and information with the Languages and Applied Linguistics Department, Humanities Division, Campus Advisors and interdependent campus units.
  • Other duties as assigned.


REQUIRED QUALIFICATIONS
  • Significant experience and knowledge of advising and counseling techniques in an academic setting.
  • Knowledge of departmental / school / college courses and majors.
  • Knowledge of department / school / college policies, procedures, and requirements.
  • Strong skills in judgment and decision-making, problem solving. Demonstrated ability to research, intepret, and apply complex policies, procedures and information and to recommend or implement solution on own initiative and authority.
  • Capacity to identfy and solve problems, including developing original ideas to address problems. Demonstrated analytical skills.
  • Excellent written and verbal communication skills, including active listening.
  • Ability to multi-task and respond promptly to changing priorities and ot independently coordinate and complete a number of projects with compeling deadlines and frequent interruptions.
  • Experience in computerized office environment, including skills navigating databases, creating spreadsheets, working with test-editing applications, and e-mail systems as well as updating web content.
  • Cultural competency and sensitivity to work effectively with a diverse group of students and faculty.
  • Professional demeanor and discretion with sensitive and confidential matters.
  • Excellent organizational skills to support the work and activities of the Program.
  • Ability to work collaboratively under supervision as well as independently.


PREFERRED QUALIFICATIONS
  • Bachelor's degree in related area and / or equivalent experience / training.
  • Experience working in a higher education institution.
  • Experience with UCSC computing applications (Academic Information System (AIS), Campus Curriculum Leave Plan (CCLP), CourseDog, CruzBuy, Infoview, Online Course Approval (OCA), Student Experience Teaching Surveys (SETS), Slug Success, Web Course Management Software (WCMS), degree audit system/academic advisement report).
  • Experience with web editing and design.
