JOB SUMMARY

Uses advanced intercollegiate athletics concepts and campus objectives to resolve highly complex issues for a large operational unit. Regularly works on highly complex issues where analysis of situations or data requires an in-depth evaluation of variable factors. Exercises judgment in selecting methods, techniques and evaluation criteria for obtaining results. Typically leads or supervises other staff or students.

JOB DUTIES

40% Membership Operations:
  • Oversees and assists with all administrative and operational aspects of a highly complex intercollegiate athletics and recreation program and all activities within the athletics and recreation facilities.
  • Resolves member complaints or problems that arise during internal or external programs and events.
  • Serves as the Facility Usage Membership Coordinator.
  • Plans, organizes, and supervises training and data management of the web-based software systems interfacing with required University systems and offices; proposes and executes membership sales procedures including facility use agreements, waivers, payment and ID card production; guest pass sales procedures including waivers and payments; customer service, member and guest services including locker rental, equipment checkout, lost and found, and retail sales.
  • Manages and fulfills outside facility rental requests.
  • Performs short and long-term planning for the intercollegiate athletics and recreation program(s) and / or activities around marketing, promotion, and recruitment.

20% Cash Handling/Business Oversight:
  • Oversees and assists with the administering of all cash handling functions for multiple work stations in accordance with Athletics and Recreation and University BUS-49 policies with the department Business Office.
  • Utilizes financial reports to reconcile all transactions and submits deposits to Cashier's Office.
  • Performs item selection for BSN Staff apparel.

20% Personnel Management
  • Participates in the recruitment, selection, onboarding, and orientation of student personnel.
  • Assists in training and supervising interns, students and volunteers.
  • Responsible for the daily management of student workers to ensure the effective and efficient operation of the unit. Develops employee work schedules and work assignments. Updates facility and work schedules using scheduling software (i.e. Fusion, When2Work).
  • Ensures safe working conditions. Implements health and safety policies and, as appropriate, personnel policies in the daily work setting.
  • Supports and motivates employees in an atmosphere that cultivates retention of employees.
  • Evaluates student employees and identifies and suggests corrective action as necessary.

10% Policies and Procedures:
  • Proposes revised standard operating procedures and guidelines.
  • Assists administration with revising and creating athletic and recreation department operating policies and procedures.
  • Develops and administers staff training on relevant policies and procedures, Risk Management plan, Emergency Response plan and communication plan.
  • Partners with other units such as Staff Human Resources, Office of Diversity, Equity and Inclusion and Title IX to roll out applicable training for all staff.
  • Ensures all staff have completed required compliance training on an annual basis.

10% Other Duties as Assigned

REQUIRED QUALIFICATIONS
  • Bachelor's degree in related area and / or equivalent experience / training.
  • Advanced knowledge of program activity and best practices
  • Problem-solving skills.
  • Ability to multi-task and work with frequent interruptions.
  • Skill in effective listening.
  • Excellent written communication skills, in the English language.
  • Excellent verbal communication skills, in the English language.


PREFERRED QUALIFICATIONS
  • CPR/AED/First Aid Instructor Certification
  • Proficiency in the use of computer applications relevant to job duties, including Microsoft office suite, Google Workspace, Innosoft Fusion, IMLeagues, DoSportsEasy, Whentowork.com, and/or Adobe Creative Cloud.


SPECIAL CONDITIONS OF EMPLOYMENT
  • Selected candidate will be required to pass a pre-employment criminal history background check
  • Possess a valid license to drive in the State of California and be able to participate in the Department of Motor Vehicles (DMV) pull notice program.
  • Possess CPR/AED/First Aid certification or have the ability to obtain it within 60-calendar days of hire.
  • Candidate must have the ability to work a flexible schedule, including nights and weekends.
  • Selected candidate will be required to complete training within established timeframes as directed, including UC compliance training.
  • The University of California has implemented a COVID-19 Vaccination Policy covering all employees. To be compliant with the policy, covered employees must submit proof of vaccination or have an approved exception or deferral, eight (8) weeks from date of hire.
