DEPARTMENT OVERVIEW

The Office of Undergraduate Admissions generates, reviews and processes in excess of 67,000 applications and serves approximately 38,000 campus visitors each year. The office has 44 career staff FTE, 45-50 part-time/temporary staff and 150 student staff. Staff work locally and regionally throughout California and the nation.

The office is part of Enrollment Management, which includes Financial Aid and Scholarships, Orientation and Undergraduate Admissions. Enrollment Management is part of the multi-faceted academic Division of Undergraduate Education. Undergraduate Admissions, Enrollment Management and Undergraduate Education work closely with select Academic Senate committees.

JOB SUMMARY

Under the general supervision of the Associate Director of Marketing, Events, & Technology, the Assistant Director of Tours and Events provides program and operational coordination for recruitment and yield efforts. The incumbent leads the development, management, evaluation and implementation of all on-campus recruitment, yield events and virtual programs. Additionally, the incumbent assists members of the outreach team in organizing off-campus recruitment and yield events in the same capacity. The role works with campus stakeholders to coordinate their participation in campus recruitment and yield events, and undertakes special projects and logistics related to recruitment and yield activities, as assigned. The incumbent is responsible for evaluating the effectiveness of events through the collection of key data points and analysis using this information to create reports for internal and external partners.

The incumbent hires, trains, supervises and oversees the Campus Tours Coordinator, the Admissions Frontline Representative and the Events Coordinator. The role provides guidance and evaluates the Campus Tours and Events programs to ensure activities are aligned with unit and university goals. The incumbent is an important member of the departmental leadership team with responsibility for recommending, developing, managing and implementing effective plans to improve the coordination, efficiency and morale of the admissions unit.

During the annual UC Application Cycle, the incumbent applies a wide variety of policies and procedures to determine if applicants have met selection criteria for admission to UC Santa Cruz and if they have achieved eligibility to the University of California. They will evaluate and make admission decisions for complex first-year applications.

APPOINTMENT INFORMATION

Budgeted Salary: $82,000 - $87,000/Annually . Salary commensurate with skills, qualifications and experience.

JOB DUTIES
  • 30% - Leads in the management, design, and implementation of admissions outreach and yield events, overseeing logistics for campus admissions events to ensure success.
  • 30% - Participates in the hiring, training and general guidance of direct supervisees. Monitors their staff's performance and provides direction and assistance as needed. Works with staff to encourage professional development and foster the development of relevant skills. Participates in the hiring, and separation of employees when appropriate.
  • 15% - Provides in-depth information on admissions requirements, prerequisite major courses, programs and curricula, and financial aid criteria in school and community-based organization settings.
  • 10% - Collects, reviews and analyzes data related to tours and events on campus. Uses data to assess the effectiveness of these efforts in attracting quality students to UCSC. Produces special and annual event reports, and creates program evaluations for both internal and external audiences.
  • 5% - Uses knowledge of department requirements and applicant pool, to assess the applicants' overall record and experience for final admissions determination and recommendation. Researches various educational systems as needed and analyzes academic records.
  • 5% - Assesses needs, predicts, monitors, explains and reports expenditures for the Tours and Events unit. Assesses the return on investment (ROI) of new strategies and initiatives.
  • 5% - Adheres to UC, UCSC, and Office of Admissions policies and procedures, such as travel and entertainment.


REQUIRED QUALIFICATIONS
  • Bachelor's degree in related area and/or equivalent eperience.
  • Advanced knowledge and experience working with a diverse student population.
  • Advanced knowledge of project management including program design, implementation, and evaluation.
  • Outstanding organizational skills with strict attention to detail to establish priorities, handle workloads, evaluate outcomes, and manage multiple activities.
  • Experience maintaining accurate and detailed records, analyze and interpret reports, and formulate and present recommendations.
  • Experience and knowledge of student recruitment, academic programs, or other educational activities, including the development of recruitment programs, and the creation of effective materials.
  • Excellent verbal and written communication skills with the ability to provide and receive clear, concise information, and to effectively communicate and present complex, technical information in professional settings.
  • Experience establishing and maintaining cooperative relationships with schools, universities, community organizations, and other institutions.
  • In a higher educational setting, experience in interpreting policies and procedures for prospective students and the public.


PREFERRED QUALIFICATIONS
  • Master's degree in a relevant field.
  • Knowledge and understanding of UC, with experience in interpreting policies and procedures for prospective students and the public.
  • Experience in education, counseling, or program promotion.
  • Knowledge of common University-specific computer application programs and knowledge of University and departmental principles and procedures involved in risk assessment and evaluating risks as to likelihood and consequences.
  • Knowledge of UC admissions practices and procedures, including undergraduate evaluations.
  • Experience with UC ASSIST web site and other UC admissions related web sites.
  • Knowledge of languages other than English.
  • Previous/related management and supervisory experience in an academic setting or similar environment.


SPECIAL CONDITIONS OF EMPLOYMENT
  • Selected candidate will be required to pass a pre-employment criminal history background check.
