DEPARTMENT OVERVIEW
Physical Planning, Development & Operations (PPDO) manages and oversees all University activities and services related to physical and environmental planning, design and construction, engineering, physical plant maintenance and operations, capital planning and space management, and the associated business services necessary to support these functions. The University's main campus is spread across more than 2,000 acres and includes over 500 buildings comprising more than 8 million square feet. The department includes operating budgets of over $27 million, manages a capital project portfolio of approximately $800 million, and employs over 350 full time staff to carry forth the duties necessary for the campus' development and operation.

JOB DUTIES
75% -
- Assists with ensuring that financial processing functions which may include accounts payable, accounts receivable, purchasing, recharge billing, travel / entertainment, insurance claim processing, and cashiering are performed with accuracy and that daily operations run smoothly.
- Assists with intake management of purchasing and payable requests for the department.
- Prepares journal entries, and maintains and / or reconciles ledger accounts. Balances books periodically, specifically the facilities clearing accounts, and helps prepare financial statements. Assists the Business Services Assistant Director and the Business Services Director with miscellaneous financial and other reporting.

- Applies professional financial and accounting concepts to independently perform analyses of moderately complex financial services such as researching discrepancies and tax implications and compliance with external regulations and internal policies.
- Under general supervision, researches and gathers information from a variety of sources; prepares and summarizes information and reports relative to new services, regulatory compliance issues and / or vendor selection and support activities. This could include monthly review of various financials.
- Functions as a resource to support staff on issues such as researching financial discrepancies, escalated customer service problems and vendor concerns.
- Reviews, processes, and approves standardized financial data and transactions. Effectively addresses difficult and complex customer inquiries.
- Conducts or assists with researching, developing and implementing new and changing business processes.
- Documents processes and procedures for financial activities.
- Participates in audits of internal records and processes and prepares recommendations for changes as needed. Ensures that the appropriate internal controls are addressed, maintained and strengthened to protect University resources.
- Assesses and recommends changes to maintain compliance with federal and state requirements and internal financial / audit policies.

- Provide backup assistance to project accounting, creating projects and work orders within CruzFix as necessary.
- Provide backup assistance in the review, entry and/or approval of timesheets.
- Other duties as assigned.
REQUIRED QUALIFICATIONS
- Bachelor's degree in related area and / or equivalent experience / training.
- Working knowledge of financial processes, policies and procedures.
- Strong knowledge of financial data management and reporting systems.
- Proficiency in the use of spreadsheet and database software.
- Ability to communicate effectively verbally and work harmoniously with a diverse group of individuals at all levels of the organization directly or indirectly involved with task and work assignments.
- Ability to communicate effectively in writing, and work harmoniously with a diverse group of individuals at all levels of the organization directly or indirectly involved with task and work assignments.
- Ability to function effectively as a member of a team.
- Ability to adapt to changing priorities.
- Intermediate knowledge and understanding of general internal control practices and their impact on protecting University resources.
