Duties and Responsibilities 

  • *Assist the Director and Associate Director of the Center by helping to develop, plan, and coordinate the Center for Chinese Studies (CCS) activities and initiatives, including seminars or webinars, symposia, conferences, receptions, and other special events of the Center.
  • *Responsible for budget, fiscal and personnel duties to support the daily operations of the Center, and logistical requirements for projects/personnel (travel, housing, etc.). 
  • *Prepare, review and audit fiscal, procurement and personnel documents for compliance with applicable University of Hawaii (UH), UH Foundation (UHF), Research Corporation of the University of Hawaii (RCUH), state, federal, contract rules and regulations.
  • *Assist the center with hiring students through the Student Employment & Cooperative Education (SECE) system. Supervises students in the Center's office.
  • *Assist the Hawaii International Conference on Chinese Studies (HICCS) Committee with preparing the annual conference logistics. 
  • *Under the supervision of the Director or Associate Director, prepare publication content of CCS reports, papers, brochures, fliers, posters. 
  • *Under the direction of the Associate Director, update the Center's digital platforms including the website, YouTube channel, Facebook and Instagram accounts, and listservs. 
  • *Under the supervision of the Director or Associate Director, serve as the administrative liaison for the Center's exchange counterpart institutions in China and elsewhere. 
  • *Assist CCS faculty with their sponsorship of visiting scholars, including pre-application consultation and the UHM/Faculty and Scholar Immigration Services (FSIS) application and compliance-process and in-program supervision. 
  • *Advise students and faculty as appropriate about available CCS opportunities and resources.
  • *Work outside of normally scheduled business hours if required by specific events or projects.
  • Other duties as assigned.

Minimum Qualifications
  1. Possession of a baccalaureate degree in Chinese Studies, Arts & Sciences, Public Administration, Business Administration or related field and 1 year(s) of progressively responsible professional experience with responsibilities for event coordination or program management; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
  2. Functional knowledge of principles, practices and techniques in the area of event coordination or program management demonstrated by knowledge, understanding and ability to apply concepts, terminology. 
  3. Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with event coordination or program management.
  4. Demonstrated ability to recognize problems, identify possible causes and resolve the full range problems that may commonly occur in the area of event coordination or program management.
  5. Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.
  6. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.
  7. Demonstrated ability to operate a personal computer and apply word processing software.
  8. Knowledge in the use of social media and website management.
Desirable Qualifications
  1. Master's degree from a college or university of recognized standing with work in a field related to Chinese Studies.
  2. Experience in research administration.
  3. Demonstrated ability to organize conferences, symposia, and outreach events.
  4. Print and publication design experience.
  5. Competence in speaking and reading modern standard Chinese.
  6. Experience working in an institution of higher education.
  7. Familiarity with UH Fiscal and HR systems, and/or policies and procedures.
