Position Summary:
The Executive Assistant provides high-level confidential and executive administrative support to the Executive Director of the University of Idaho Foundation (UIF). The position is responsible for maintaining up-to-date knowledge of the UIF and University goals and objectives. In addition to working with the Executive Director, the position works with internal and external UIF members, office and university staff, alumni, and friends of the University. The Executive Assistant is responsible for high-level support and effective management in areas of administration and project completion. Responsibilities include handling information requests, preparing reports and correspondence, and liaising with board members. The UIF office duties may be administrative, clerical, and/or project-based, and require self-initiative and multitasking abilities. This position is privy to confidential information and as such, requires diplomacy and discretion. This role provides administrative support to UIF department managers in achieving their objectives.
Minimum Qualifications:
- High school diploma or equivalent
- Two years executive/administrative support experience; or a minimum of 4 years effectively working in administrative support positions of increasing responsibilities;
- Experience using calendaring software to schedule meetings;
- Experience editing and writing business correspondence using proper grammar and punctuation as demonstrated in application materials;
- Experience using computer software and applications for word processing, developing spreadsheets, email and internet research;
- Experience maintaining confidentiality while managing highly sensitive documents and information;
- Experience planning, organizing, implementing, and evaluating special projects;
- Experience coordinating activities requiring complex arrangements;
- Experience balancing and coordinating a workload for multiple projects.
Preferred Qualifications:
- Bachelors degree;
- Supervisory experience;
- Experience using electronic board books;
- Experience working at a university or foundation;
- Experience with Banner and/or CRM;
- Experience supporting senior level administrators;
- Willingness to travel;
- Eligible to become an Idaho notary.
