Position Overview
The Office of the University Registrar reports to the Vice Provost for Enrollment Management which includes the following functional units: Office of Undergraduate Admissions, Office of Graduate Admissions, Financial Aid and Scholarships, Student Information Systems and the Office of the University Registrar.
The Office of the University Registrar (OUR) is responsible for catalog and course scheduling, room reservations, student enrollment, tuition and fee assessment, production and maintenance of the academic record including the official academic transcript, enrollment certification, graduation and diploma production.
Publication of the Academic Course Catalog at any institution is a valuable process. The creative, innovative, strategic publishing of the catalog can assist students in timely progress towards degree and thus is of high importance to institutional goals. The Catalog Coordinator position utilizes policies, procedures and processes at the University to assist the academic units in optimally publishing the Academic Course Catalog to support student progress towards graduation. This position coordinates the catalog process, provides back-up and leave coverage for the rooms coordinator and course coordinator and other duties as assigned. This position has some latitude in decision making and generally operates with indirect supervision representing the office to the campus community. Accuracy is highly important as incorrect information in the catalog can have a catastrophic effect on the success of students and academic units.

Job Description
Editing & Publishing (65%)
- Coordinate regular course catalog updates by appropriate University staff.
- Provide counsel to University staff, as needed, in the preparation of copy for the course catalog.
- Edit, proofread, verify accuracy, and secure necessary approval of catalog pages through all stages of production to conform with established University policies and style.
- Establish production schedules and work with appropriate University staff to implement them and meet deadlines.
- Maintain appropriate records; prepare reports on activities as requested; assume final responsibility for the completion of each assignment.
- Train content editors on vendor tool and KU-specific procedures.
- Perform user testing of vendor updates and KU integration changes.
- Contribute to a community of practice where school/university catalog contributors can share ideas and best practices.
- Develop, maintain and socialize appropriate web accessibility standards for all catalog content (impacts content outside of the Catalog that’s referenced within the Catalog).
- Coordinate with SIS and KUIT to document and test requirements for degree plans.
- Address user requests for assistance, act as first-level customer support for content editors.
- Escalate and manage application issue resolution between content editors and vendor.
- Prioritize, manage and track change requests submitted to Courseleaf (vendor) on behalf of KU.
- Attend recommended professional development and share best practices/changes with content editors.
- Update revisions and additions to Enrollment Requirement Groups in PeopleSoft Campus Solutions.
- Assists and provides back-up and leave coverage for Course Coordinator.
- Assists Assistant University Registrar with set-up and maintenance of CourseLeaf Curriculum Management software and other duties as assigned.
- Trains area staff (permanent, temporary and students) in area functions to enable cross-training and delegation of workload.
- Creates, maintains, and provides documentation and training on course catalog processes to enable back-up of area.
- Attends area and other meetings as needed.
- Participates in professional development as and/or approved by supervisor.
- Completes special projects and other duties as assigned.
Required Qualifications
- High School diploma or completion of G.E.D. equivalency.
- Four years’ office experience or four years of post-secondary education.
- One year experience in a university office or academic department.
- Effective writing skills as evidenced by application materials.
Preferred Qualifications
- Knowledge of Universities rules, regulations, policies and procedures.
- One year of experience in a University Registrar's Office.
- One year experience with data entry in PeopleSoft Campus Solutions/Enroll and Pay.
- Experience using 25Live Pro Room Scheduling software.
