Job Description
60% IT Procurement within ticketing system and HECVAT administration
  • HECVAT Administration:
    • Coordinate and streamline the process for obtaining HECVAT (Higher Education Community Vendor Assessment Tool) documentation for software applications.
    • Ensure clarity on ownership of HECVAT administration and establish protocols for when a refresh is needed.
  • Documentation Management:
    • Obtain HECVAT documentation for both new and legacy software solutions.
    • Review existing HECVAT assessments conducted by the Information Technology Security Officer (ITSO) and expedite requests accordingly.
    • Identify and download Privacy Statements and End User License Agreements for proposed software solutions as needed.
    • Upload all relevant documentation into SmartSuite and TDX (Ticketing System).
    • Provide data export for KITO (Kansas Information Technology Office) and other reporting
  • Security and Compliance Reviews:
    • Conduct initial threshold security reviews of software applications and refer complex cases to appropriate teams as needed.
    • Complete initial reviews to assess the type of data used within software applications and determine suitable IT solutions.
    • Perform initial reviews to identify potential duplicative software and streamline procurement processes.
  • Communication and Stakeholder Management:
    • Serve as the key contact for campus stakeholders seeking status updates on IT transaction reviews.
    • Communicate regularly with stakeholders and procurement teams to provide updates on the status of IT transactions.
    • Collaborate with stakeholders to ensure alignment and understanding of IT compliance and procurement processes.
35% IT Department contract renewals
  • Initiate IT Procurement tickets for the IT Department.
  • Work with Financial Analyst in ensuring contract renewals are completed in a timely manner.
  • Update contract tracking spreadsheet with renewal information to support budget projections.
5% Other duties as assigned
Required Qualifications
  1. High School Diploma/GED and four years of relevant professional experience OR an Associate degree and two years relevant professional experience OR a Bachelor's degree.
  2. Excellent communication skills as evidenced by application materials.
  3. Experience in IT compliance, procurement coordination, or similar roles.
Preferred Qualifications
  1. Familiarity or experience with HECVAT documentation and IT security standards in higher education environments.
  2. Strong organizational and documentation management skills as evidenced by application materials and work experience.
  3. Proficiency in using ticketing systems and document management platforms.
  4. Attention to detail and ability to work efficiently in a fast-paced environment.
