General Description
The purpose of this position is to administer the daily operations of University Mail Services while ensuring compliance with Federal regulations and guidelines. Responsible for all incoming and outgoing mail processes, student packages, University mailboxes and counter services.
Essential Job Duties
1. Oversee window services to include the sale of stamps, envelopes and delivery of packages.
2. Provide secure storage and accurate accounting of money, stamps, and other valuables.
3. Receive, sort and box mail and packages.
4. Pre-assign post office boxes for incoming students.
5. Coordinate the boxing of student payroll and refund checks.
6. Verify mailbox combinations, clean, repair and assess the condition of mailboxes.
7. Close student mailboxes after withdrawals, and/or graduation.
8. Forward mail to students during summer months, and reassign boxes appropriately.
9. Supervise, train and evaluate the work of jobship and student workers.
10. Schedule and approve time sheets for student workers.
11. Notify students via email of package receipts.
12. Receive outgoing packages to be shipped out UPS and FED EX.
13. Educate and assist students with addressing envelopes and packages; help students with outgoing packages.
14. Assist students with opening their mailboxes when they are having difficulties.
15. Respond to faculty, staff and students regarding delivery services.
16. Prepare out going mail, affix proper postage, and assign charges to appropriate accounts.
17. Prepare monthly reports of postal charges.
18. Coordinate, schedule, and maintain departmental mail delivery schedules.
19. Maintain security of postage meter and mail.
20. Maintain an orderly facility for processing and dispensing of mail.
21. Provide information and assistance to faculty and staff as needed.
