Who we are:The History of Philosophy Forum is Notre Dame's hub for research activity in the history of philosophy, broadly construed to include Christian, Jewish, and Muslim intellectual traditions, intellectual history, history of political thought, history of the study of the natural world, and more. At the University of Notre Dame, an exceptionally large community of scholars in these interlinked areas makes us one of the top locations in the United States for research and studies of the traditions of human reason. As a central priority, the Forum seeks to stimulate conversation and collaboration across the boundaries that artificially hem in scholarly research in this field: the boundaries of different time-periods, intellectual traditions, disciplinary methodologies, and geographical location.
JOB DESCRIPTION:
The Program Coordinator is responsible for ongoing support for the History of Philosophy
Forum and Maritain Center including communications, coordination of programs and activities, financial management, and administrative tasks. This position works with the Director of the History of Philosophy Forum and the Maritain Center to support strategic priorities and initiatives. The Program Coordinator will work primarily in the office or in hybrid format during the standard work week and can expect to work 40 hours per week over a 12 month period. Some hours outside of standard business hours will be required for event and program coordination.
ESSENTIAL DUTIES & RESPONSIBILITIES:Communications & Graphic Design
- Coordinate email correspondence and inquiries
- Manage social media accounts
- Circulate announcements, responding promptly to all inquiries
- Establish, review, and maintain web and social media presence
- Assist with developing and promoting content
- Manage event calendars, collect and solicit events to promote, coordinate
schedules with appropriate units
- Maintain and grow internal and external mailing lists. Design and distribute posters,
announcements, and other graphics
Financial Coordination
- Oversee all transaction support, such as managing expenses, payments, labor distributions, financial requisitions, expense reports, reconciliations and general management of funds, and fund requests
- Maintain and monitor annual budgets
- Monitor funds including facilitating, coordinating, and ensuring timely payments
- Create and generate reports to support and facilitate operations
- Participate in the university budget and forecasting process
- Work with Notre Dame Research and Notre Dame Corporate Relations to facilitate and administer grant funding in accordance with university and granting organization expectations
- Coordinate finance-related communications
Event Planning & Visitor Hospitality
- Coordinate visitor/speaker logistics (scheduling visits, securing flights and accommodation,
- arranging for key handovers and workspaces, maintaining up-todate
- welcome packages)
- Coordinate with university and external vendors to arrange visitor/speaker hospitality
- Plan both smallscale and large-scale events (booking rooms, arranging food, advertising), coordinating with on and off-campus partners
- Serve as liaison between HPF/Maritain and internal and external constituents and partners
Administrative Duties
- Perform administrative and officesupport activities, such as managing scheduling and
- communications, assisting with travel, meeting, and event
- arrangements, and preparing reports and presentations
- Manage physical spaces, including the Maritain Library
- Manage the HPF grant application review process, working with the Faculty Review Committee
- Fill out assessment data and spreadsheets and manage data gathering
- Create funding-related documents and reports, working with the Director and external consultants
- Assist with other projects and administrative tasks as assigned.
- Coordinate student interns, including recruiting, hiring, onboarding, and planning
This is a five-year, limited-term position. Contingent on funding, the position may be extended.
Minimum Qualifications:
Educations & Experience:
- Associates degree or up to 3 years of college or technical school
- 1-2 years of experience
Skills:
- Superb attention to detail
- A strong customer service mindset and the ability to deal effectively with all internal and external constituents
- Excellent communication skills, including experience with writing and editing
- Strong interpersonal skills to work with a diverse group of faculty, staff, and students
- The ability to manage multiple projects and deadlines simultaneously the ability to simultaneously coordinate multiple complex projects with varying deadlines
- Strong computer skills, including proficiency in word processing, spreadsheets, email, and Internet
- Working knowledge of office equipment, including computers, email, voice messaging systems, and printers
- Eagerness and willingness to learn; openness to feedback and coaching; and flexibility and agility in the workplace
- Sensitivity to confidential matters
Preferred Qualifications:
- Experience in graphic design
