The Administrative Coordinator oversees the administrative management functions for the Office of Student Conduct and Academic Integrity, and Student Care and Case Management. Responsible for the maintenance and the upkeep of the office, its equipment, and its systems.
Day to Day for this position:
  • Recruitment, selection, training and supervision of student assistants
  • Data entry for the Jeanne Clery report
  • Oversee systems responsible for disciplinary reference check requests from university constituents and external schools and agencies.
  • Reporting as necessary and special use correspondence

Minimum Qualifications
Requires a bachelor’s degree and 1 or more years of experience, which may be substituted by equivalent combination of certification, training, education, and/or experience. Pending graduates eligible if candidate receives their degree by date of employment.

Preferred Qualifications
Bachelor’s degree and 2 years related experience in business management, public administration, or administrative services; or equivalency. Experience with Maxient student conduct database. Familiarity with PeopleSoft and PeopleAdmin.

Knowledge/Skills/Abilities
Possess the skills, knowledge, and expertise necessary to effectively operate a computer and related equipment, utilizing database management and word processing software to coordinate the extensive on-line record keeping systems, maintain records consistent with established procedures and develop recommendations for future budget related trends.

The Administrative Coordinator oversees the administrative management functions for the Office of Student Conduct and Academic Integrity, Student Care and Case Management including implementation of the Temporary Conditions and Injuries policy, and Basic Needs initiatives including the Gamecock CommUnity Shop.
Responsible for the recruitment, selection, training, supervision, recognition, and evaluation of Student Assistants who are responsible for maintaining due process standards and FERPA protections for students via communication for all conduct administrators. The Administrative Coordinator is responsible for assuring full desk coverage.

Oversees the data entry for the annual Jeanne Clery Report statistics in coordination with Law Enforcement and Safety and ensure the accuracy of the data.
Oversees the system for disciplinary reference check requests from university constituents and external schools and agencies.
Aggregates information for updates to the Annual Assessment Reports and Key Updates reports.

Produces special statistical reports as requested by Division leadership or campus partners.

Responsible for all support activities for professional staff members, student assistants, and graduate assistants. Functions as the assistant to the Executive Director and oversee administrative scheduling. Responsible for the maintenance and the upkeep of the office, its equipment and its systems. Coordinating IT support, overseeing software and hardware installations, and training employees in using office technology effectively.

Is the front-line staff person for parents, attorneys, and others who have questions and complaints beyond what front desk staff members are able to resolve.

Places and removes registration holds for staff and manage and all questions received by front desk regarding holds as student staff does not have Banner access.

Prepares No Contact letters, interim suspension letters and other special use correspondence. Coordinates the ordering of office and printing needs, membership renewals and subscriptions, and is responsible for agendas and minutes to meet SACS accreditation requirements.

Trains campus partners (Substance Abuse Prevention and Education staff, University Housing administrative assistants) on utilization of the Maxient database. Maintains and updates the unit’s internal user manual for administrative management and assist with travel arrangements.

Oversee the operationalization of Care Team and Basic Needs components as needed with initiatives such as emergency loans, administration, support for grant administration.

When workgroups are functioning, produces the project management timelines and coordinate the status reports of the working groups.
