Salary: Up to $65,587/Annualized, commensurate with education, experience and qualifications.

Summary

The following program is an example of the currently supported program.

Function: To provide specialized program support in the coordination of all phases and activities of major research programs/projects.

The Program Coordinator will facilitate the scholarly award process by determining Scholarly Award deadlines and working with The Office of Research leadership to identify eligible faculty for nomination and final submission on behalf of leadership. Other responsibilities include drafting and securing materials including, but not limited to, letters of support from leadership and/or external supporters, biographies, C.V.s, patent and publication lists, and additionally, fact-checking patents. Oversee all marketing materials, communication with external parties, and the program website.

Scope:

Responsible for providing support in the planning, scheduling, reporting and coordination of major research programs/projects.

Core Responsibilities

Typical:
  • Plans, schedules, and coordinates detailed phases of administrative matters in support of research programs/projects.
  • Oversees the day-to-day administrative coordination of research programs/projects including data reporting, data management, staffing, budget forecasting, deadlines, and supervision of assigned technical and clerical research staff.
  • Creates and maintains systems, procedures and/or websites for data management or processes.
  • Keeps director/administrator apprised of the status of proposed and ongoing programs/projects.
  • Provides support in identifying, assembling, and submitting grant applications.
  • Administers and monitors grant budgets to ensure adherence to budgets, staffing, and reporting.
  • Establishes and maintains contact on behalf of director/administrator with local/federal agencies and organizations needed to facilitate projects.
  • Provides administrative support for conferences/symposiums.
  • Performs other duties as assigned.

Periodic:
  • Addresses professional organizations and other interested groups on behalf of director/administrator.
  • Oversees the business and personnel operations of the particular research area in the absence of the director/administrator.

Required Qualifications
  • Bachelor's degree.
  • Five years of experience in one or more of the following: Grant or research administration; Program, project or business administration; Working with agencies/organizations to fulfill project needs; Marketing or public relations.
  • At department's discretion, four years of experience may be substituted for a bachelor's degree. (Nine years total experience).
  • Personal computer and standard office equipment.
  • Knowledge of grants and contracts policies and procedures.
  • Ability to work in a fast-paced, deadline-driven role with exceptional skills in balancing competing deadlines and working efficiently.
  • Ability to manage, prioritize, and coordinate multiple projects to completion.
  • Budget oversight experience.
  • Highly developed interpersonal skills and demonstrated ability to deal with a variety of people professionally and courteously.
  • Excellent written and verbal communications skills.
  • Self-starter with strong attention to detail.
  • Good organizational, strategic, and analytical skills.

Preferred Qualifications
  • Master's degree.
  • Knowledge of grants and contracts policies and procedures.
  • Two years of supervisory experience.
  • Knowledge of UT System rules and regulations.
  • Experience with PeopleSoft and Adobe applications.
  • Webcam or other videoconferencing equipment and applications.

Working Conditions

This position will be primarily located on campus. Travel and parking expenses are the employee's responsibility.
