Summary

Oversees and supervises the daily operations of the Health Information Management (HIM) assigned team within the scope of responsibility. Responsible for leading and training direct reports in team processes, system applications, and equipment in regards to the assigned area. This will include making assignments, processing, retrieving, releasing, and retaining protected health information while adhering to legal and privacy requirements and confidentiality. This position will also ensure timely completion of work within turn-around-times, monitor and analyze production and quality of work, and delivery of excellent customer service to all internal and external customers.

Experience and Education

Bachelor's degree in Health Information, Business, Healthcare Administration, Nursing or other related field with three (3) years of progressively responsible related experience which supports the HIM domain, or

Associate's degree in Health Information, Business, Healthcare Administration, Nursing or other related field with five (5) years of progressively responsible related experience which supports the HIM domain.

Additional certifications (AHIMA, AAPC, HIMSS, or Epic certification), education or experience which supports the HIM domain may be considered in lieu of qualifications. RHIA or RHIT certification preferred. Experience in acute care setting, ambulatory care health care environment, or physician practice management a plus.

Job Duties

Functions of the team:

  • Understands and knows team processes and procedures while ensuring the highest level of quality.
  • Streamlines and improves processes to become more and more efficient.
  • Creates and revises hospital, ambulatory, and team-specific policies and procedures as needed with appropriate communication to staff.
  • Ensures direct reports adhere to departmental and university policies and procedures which include, but are not limited to, ensuring quality and quantity of work and customer service of direct reports is acceptable.

Managing Team and Staff:

  • Assigns work fairly and equitably to team and reviews staff productivity while maximizing staff during their 8 hour shift.
  • Serves as the first line of training for new hires and transfers to the department by assuring new hires are properly trained on all departmental policies and procedures, processes, and information systems and completes new hire progress evaluations at 30, 60, 90, and 180 days.
  • Evaluates, documents, and communicates employee performance, attendance, and conduct clearly and ensures timely completion and accuracy of discipline along with completion of 6 month and annual evaluations.
  • Conducts ongoing staff education and cross training for direct reports and leads monthly team meetings.
  • Remains available for work adhering to attendance standards and for team providing coverage and support while setting the example for the team utilizing leave in a manner that consistently supports effective job performance.

Special Projects:

  • Manages projects from beginning to end assuring completion by the deadline, operating within time and budget constraints, and while juggling multiple priorities and tasks.
  • Completes special projects accurately and timely as assigned while considering professional standards and best practices as appropriate.
  • Implements new systems, functionalities or upgrades to ensure compliance with customer, clinic, and departmental standards and administrator expectations.
  • Observes and promotes, and sets the example for the tenets of privacy, security and confidentiality at all levels while also implementing cost saving measures and efficiencies.

Statistics and Informatics:

  • Captures and reports statistics for the Medical Staff HIM Committee presentations and other meetings.
  • Sets standard key process indicators and monitors standards for compliance and reviews employee scorecards with staff in a timely manner.
  • Verifies employee time sheets for adherence to policy for time and attendance and updates documentation timely and accurately as well as tracks sick, vacation and FMLA time.
  • Maintains fiscal responsibility by minimizing necessity for overtime and keeping it to a minimum.

Customer Service:

  • Responds timely and appropriately to all internal and external customer service requests while providing follow up and customer feedback.
  • Interacts professionally and courteously with all staff, clinic, and hospital personnel and demonstrates effective communication techniques and professionalism in all responses including verbal and written correspondence.

Effective, Strong Leadership:

  • Displays strong leadership skills within the scope of job responsibilities, duties, and tasks as assigned.
  • Displays excellent ACT service skills including A-Accountability, C-Competency, and T-Teamwork.
  • Supports, participates and inspires engagement in team and department initiatives.
  • Maintains current knowledge of standard policies and procedures, remains abreast of new policies and information systems, and recommends updates and revisions of HIM policies for the department and team regarding new technology and changes.

Duties performed may include one or more of the following core functions: (a) Directly interacting with or caring for patients; (b) Directly interacting with or caring for human-subjects research participants; (c) Regularly maintaining, modifying, releasing or similarly affecting patient records (including patient financial records); or (d) Regularly maintaining, modifying, releasing or similarly affecting human-subjects research records.

Performs other duties as assigned.

Working Conditions

Work is performed primarily in an office environment. Ability to travel to local and campus Health Information satellite offices as needed.

This position is security-sensitive and subject to Texas Education Code *51.215, which authorizes UT Southwestern to obtain criminal history record information.
