Job Summary:

The Division of Pediatric Gastroenterology in the Department of Pediatrics, University of Utah School of Medicine, has an immediate opening for a Program Coordinator. The Program Coordinator will oversee the daily operations, coordinate and maintain the Eosinophilic Esophagitis (EoE) clinic and population served. The incumbent for this position is responsible for managing a database of EoE patient information (including information regarding diagnosis and treatment) and coordinates follow-up throughout the care continuum. The Program Coordinator will serve as the primary contact for emergency medicine, surgery (both ear, nose & throat and pediatric surgery) and allergy, about possible new EoE diagnoses and will educate colleagues about the Eosinophilic Esophagitis “FastTrack” endoscopy program.

Responsibilities

Essential Functions:

Clinical Program Coordination

1. Oversees daily Eosinophilic Esophagitis program operations and supports the Eosinophilic Esophagitis providers to coordinate program activities of the Eosinophilic Esophagitis clinic. 2. Maintains a database of new Eosinophilic Esophagitis diagnoses, tracks initial disease treatment, and coordinates follow-up. 3. Routinely follows up with Eosinophilic Esophagitis patients regarding medication adherence/administration and contacts patients to gauge their response to therapy. 4. Helps to arrange a surveillance endoscopy when this procedure is indicated. 5. Coordinates clinic visits between patients and Eosinophilic Esophagitis providers when a visit is needed to gauge response to therapy, answer in-depth questions or discuss results of recent endoscopy/biopsy. 6. Tracks quality metrics in endoscopy. 7. Assists with writing 1-2 Eosinophilic Esophagitis research papers and/or posters per year, including writing, maintenance of Institutional Review Board compliance, data organization \ /- analysis, and submission preparation. 8. Collaborates nurses and the prior authorization team to seek alternative options to cover the cost of patient medications when necessary. 9. Assists with various duties in the Eosinophilic Esophagitis clinic, such as ensuring the suitable patients are scheduled into the clinic and helping with clinic prep/discharge/follow-up. 10. Serves as point of contact for emergency medicine, surgery (both ear, nose & throat and pediatric surgery) and allergy about possible new diagnoses and educates these colleagues about Eosinophilic Esophagitis fast track endoscopy program. 11. Reviews data from EoE “FastTrack” endoscopy program to ensure the appropriate patients are being brought for endoscopy and prepares data to revise parameters of the program

Problem Solving:

This position provides coordination and initial decision making for tasks related to the Eosinophilic Esophagitis clinic. The incumbent will have direct support from EoE medical providers and nurses. The clinic outcome often impacts the University as a whole. Problems arising from these coordinatin efforts will be addressed by the incumbent who will refer to the manager and clinic providers for issues outside of program policy and procedure guidelines.

Minimum Qualifications

Bachelor’s degree in a related field plus one year directly related experience or equivalency (one year of education can be substituted for two years of related work experience) required. Demonstrated ability to work independently, analyze and make decisions related to program content. Strong coordination and organizational skills required to prioritize conflicting deadlines. Demonstrated human relations and effective communication skills are also required.

This position is patient-sensitive and must fulfill all associated requirements. Preferences

Preferences:

  • Experience with patient coordination;
  • Prior work experience in the medical field or work/study programs;
  • A self-starter who is able to work on tasks independently;
  • Personal computer proficiency in Excel, Word, and PowerPoint and willingness to learn new programs (primary statistical analysis package is STATA );
  • Excellent organizational and time management skills, with outstanding attention to detail;
  • Ability to work closely with various medical providers;
  • Willingness to interact directly with Eosinophilic Esophagitis patients and their parents;
  • Strong writing skills for both patient communications and medical research submissions;
  • Prior experience with a medical research team is preferred, including coursework/facility with statistical analysis packages and experience writing academic research posters or papers.
