UW Medicine's Information Technology Services (ITS) department is a shared services organization that supports all of UW Medicine. UW Medicine is comprised of Harborview Medical Center (HMC), UW Medical Center-Montlake (UWMC-Montlake), UW Medical Center-Northwest (UWMC-NW), Valley Medical Center (VMC), UW Neighborhood Clinics (UWNC), UW Physicians (UWP), UW School of Medicine (SOM) and Airlift Northwest (ALNW). In addition, UW Medicine shares in the ownership and governance of Children's University Medical Group and Seattle Cancer Care Alliance (a partnership between UW Medicine, Fred Hutchinson Cancer Research and Seattle Children's). ITS is responsible for the ongoing support and maintenance of the infrastructure and applications which support all of these institutions, along with the implementation of new services and applications that are used to support and further the UW Medicine mission.
In collaboration with UW Medicine IT Services ('ITS') and under the general guidance of the Assistant Director, Data Services, who sets direction and priorities, the primary focus of the Lead Business Analyst ('Lead Analyst') is planning, directing, and coordinating a data warehouse to support Harborview Medical Center, UW Medicine Montlake Campus, UW Physicians and multiple affiliate organizations.
While all members of the Data Services Team are expected to develop a proficiency across the domains we support, Analyst areas of responsibility include, but are not limited to:
• Supporting the direction and priorities of the Manager by coordinating and overseeing the operational activities and system maintenance, and ensuring standard services are meeting appropriate targets;
• Prioritizing and distributing the workload throughout the team, managing the day-to-day workflow, and reporting to the manager the status of work assignments;
• Leading and enforcing the communications strategy and plan for Analytics;
• Providing a point of escalation for operational and other service issues;
• Identifying and proposing service management improvements;
• Providing advice, coaching and mentorship to team on work techniques, best practices, and operational expertise;
• Serving as the manager's delegate to represent the team to customers, project managers, technical leadership and organizational management;
• Leading team members in the design, development, deployment and support of all Analytics solutions;
• Leading a team in development and deployment processes;
• Managing internal team development projects, enhancements and processes; and
• Managing intake of ITS projects by providing time estimates, attending project meetings, assigning work to team members, providing updates to manager and Project Management Office (PMO) and ensuring projects are successful.
RESPONSIBILITIES Leading Team Operational Activities (35%)
• Oversee the operational activities of the team.
• Develop and maintain strong team processes and capabilities through the enhancement, deployment, and maintenance of methods, metrics, tools, training, education, and communication.
• Create, advise, and ensure operational processes and procedures are in place and documented for the stability and reliability.
• Data analysis.
• Capture and report on teamwork assignments reflecting status, priority, capacity, and utilization.
Advanced to Complex Requirements Gathering and Verification (25%)
• Guides UW Medicine partners and BI Report Developers facilitating business requirements analysis via the methodical investigation, analysis, review, and documentation of all or part of a business in terms of business functions and data needs.
• Manages the requirements development process through the elicitation, analysis, specification, and verification of multiple levels of requirements (i.e., business, stakeholder, and/or solution).
• Leads the ongoing management of business requirements documents and approaches.
• Creates viable and consumable specifications, including acceptance criteria, in preparation for the sign-off, construction, and testing of reporting solutions.
• Coordinate deployments Analytics solutions, to make sure they are successful.
Advanced to Complex Project Management and Process Improvement (15%)
• Translates high level business requirements into detailed specifications and work plans.
• Develops and executes work planning related to development tasks including effort and completion date estimates.
• Performs to schedule and completes all tasks in the agreed upon timelines.
• Works independently on assigned tasks with minimal assistance.
• Develops and maintains supporting documentation (i.e., business requirements documents, design documents, report inventory, etc.).
Communications (10%)
• Assists in the creation of and leads maintenance efforts for the communications plan and strategy for Analytics.
• Leads and reinforces communications efforts for Analytics.
• Maintains communications guiding principles and methodology and enforces it so that it continues to fulfill the Analytics group requirements.
• Maintains overall Analytics communications plan and schedule in coordination with business owners, project management and Analytics leadership.
• Maintains the Analytics communication toolset: processes, guidelines, vehicles, tools and templates, ensuring alignment with ITS and UW Medicine branding standards.
Mentoring (10%)
• Mentor team members in technical and departmental knowledge, practices, processes, and procedures.
• Guide customers and other staff in best practices, technical trends, and valuable resources.
• Provide feedback to Manager on team members, customers, and other staff to support the development of training and education.
• Lead and mentor team members in troubleshooting or problem-solving exercises.
• Collaborate with Manager on and occasionally lead staff professional development activities.
Other (5%)
• Participate in all aspects of improving the team, including education/training of other team members and contributing to process/communication improvement initiatives.
• Mentor other analysts and team members.
• Work with manager to set professional goals for career development.
• Act as back-up for other team members and functions, as needed.
REQUIREMENTS
Bachelor's degree in Business or Health Administration, Computer Science, Information Systems, Public Health, or related field or equivalent combination of education/experience.
6 yrs of experience must include the following:
• 6 years of recent healthcare or IT experience.
• 1 year(s) of experience with formal mentorship.
• 6 years' experience performing progressively more complex and responsible Business Analysis and Project Management tasks. This includes the ability to simultaneously lead multiple projects with far ranging durations (i.e., > 1 year) and levels of effort (i.e., > 500 hours). These projects should have increased visibility and impact at the organizational leadership level.
• Advanced experience in, and the ability to lead enterprise level healthcare data analytics projects. Ability to mentor others in applying healthcare data and terminology.
• 2 years leading large to enterprise level projects using formal project management.
• 1 years' experience leading a team of developers.
• Advanced experience, and the ability to mentor others in, working through the complete report development lifecycle, including leading requirements gathering and documentation.
DESIRED
• Familiarity with or certification in Epic applications.
• Previous experience in and knowledge of academic healthcare systems and/or operational environments.
• Advanced degree (e.g., Master's, PhD, etc.)
• Knowledge of clinical healthcare concepts and workflows.
• Experience with Microsoft TFS.
CONDITIONS OF EMPLOYMENT
- This is an Information Technology deadline-driven work environment.
- The individual in this position is expected to work normal daytime hours. The majority of work is performed in an office environment during normal business hours; however, significant off-hours and weekends may be needed to resolve problems and respond to emergencies. This individual is expected to be available for emergencies (business continuity/disaster recovery efforts) on a 24x7 basis as needed.
- Must coordinate projects without direct supervisory authority.
- Must work within the constraints of multiple technical environments.
- ITS provides services to all UW Medicine organizations - HMC, UWMC-Montlake, UWMC-NW, VMC, UWNC, UWP, SOM, and ALNW. The individual in this position must learn many organizational structures and cultures and continually foster collaboration.
