ATTENTION:
The UW-Whitewater Foundation, Inc, in the division of University Relations at the University of Wisconsin-Whitewater seeks an Accountant (Accountant II, FN002).
JOB DETAILS:
This position is responsible for accounting duties for UW-Whitewater Foundation, Inc., a nonprofit organization that inspires philanthropic support for the University of Wisconsin - Whitewater. Duties include, but are not limited to, processing accounts payable, properly recording donation revenue and investment earnings, reconciling accounts, as well as assisting with Board of Director and Committee meetings, the annual independent audit, tax preparation and budget. In addition to maintaining positive public relations, tact and discretion must be exercised in dealing with confidential and sensitive issues. This position reports to the Director of Finance.
QUALIFICATIONS:
Minimum Qualifications:
- Associate’s or Bachelor’s degree from an accredited college
- At least two years’ bookkeeping experience
Desired Qualifications:
- Bachelor’s degree in accounting or business administration from an accredited college or university
- At least five years’ accounting experience for a nonprofit organization
- Raiser’s Edge and Financial Edge (FE) software experience
RESPONSIBILITIES:
A. (45%) In a manner consistent with Generally Accepted Accounting Principles, maintain, optimize and continuously evaluate an accounting system for all gifts, pledges, expenses and assets held by the Foundation
- Analyze, develop and maintain accounting processes for monitoring and reporting on Foundation assets
- Monitor daily income and balance reports to ensure accuracy
- Maintain records according to Foundation’s Records Retention and Destruction Policy
- Initiate and oversee numerous transfers within accounts according to established Foundation guidelines
- Provide analysis for budget flows and enhanced variance analysis, together with report design and improvements. Investigates variances and suggests/implements solutions as needed
- Generate periodic reports and other financial documents for the Foundation and for other University personnel
- Respond to and work with University personnel to resolve any problems that may arise regarding Foundation accounts
- Maintain chart of accounts and ensure mapping to financial statements is accurate
- Continually use and research ways to use the accounting and subledger packages to their fullest capabilities including automating processes further and increasing use of RENXT/FENXT for daily financial accounting processes and financial reporting
- Create and design additional analytical financial reports for ongoing management use. Suggest and consider design changes for reporting packages provided to key stakeholders
- Assist with annual independent audit, tax reporting and budget. Participate in decisions regarding proper application of GAAP
- Create new funds and general ledger accounts in Financial Edge and Raisers Edge
- Process daily deposits via remote deposit and/or take cash to the bank
- Document all aspects of Accountant II Position, cross-training Director of Finance completely
B. (20%) Perform monthly closing activities and reconciliations
- Record necessary journal entries to adjust prepaid accounts, record monthly/quarterly/annual fees, record bank fees, etc.
- Reconcile bank statements monthly
- Reconcile balance sheet accounts, including accounts payable and other liability accounts, prepaid accounts, and other accounts as needed
- Reconcile Raisers Edge to Financial Edge for pledge balances, pledge payments and write-offs
- Calculate and record CV adjustments for Life Insurance Policies
- Record MCR, GIK, EF Spendable reclassifications
- Calculate and send Annuity and Trust payments to beneficiaries
- Keep Foundation compliant by filing Sales Tax, DFI report, WI non-stock Corp report and completing WI Department of Regulation & Licensing Report
- Update quarterly budget reports for Alumni Activities and Annual Giving Manager
C. (10%) Record Foundation’s Accounts Payable
- Enter check requests and invoices for payment. Issue payments bi-weekly. Distribute checks to requesters
- Ensure requests for payment have proper approvals and fall within established Guidelines for use of Foundation Funds
- Work with University Financial Services to process and pay bill-backs and ensure reconciliation between the entities
- Monitor fund balances and ensure positive balances are maintained
- Ensure check cutting procedures are adhered to including proper check signing based on thresholds
- Create, mail and store end of year 1099 tax statement for NEC and Investment Income
- Create, mail and store end of year 1096 tax statements
D. (10%) Board of Director and Committee Responsibilities
- Actively participate in Board of Director and Financial Committee meetings
- Prepare draft committee meeting minutes
- Provide support for committee meetings with an eye to move to a staffing role
E. (8%) Record Scholarship Payments in Financial Edge
- Record scholarship payments to appropriate Foundation account
- Record endowed scholarship spendable and supplemental amounts in Financial Edge to reflect current fiscal activity
- Reconcile Scholarships payments w/ University monthly
F. (5%) Record Foundation’s Investment Activity
- Download investment statements, calculate market value change and record investment activity
- Create new general ledger accounts for each new investment account
G. (2%) Maintain WREF records in Quick Books
- Record expenses and issue checks
- Reconcile monthly bank statement
- Create journal entries

COMPENSATION AND BENEFITS:
Well-qualified candidates can expect a minimum starting annual salary of $55,000.
