JOB TITLE:
Business Manager, Executive
JOB PURPOSE:
With limited supervision and in collaboration with many internal and external stakeholders, this position is responsible for accurately recording financial transactions; cash handling; reconciling accounts; managing bill payment; invoicing; providing financial insights and reporting to leadership. It also involves collaborative budget management; oversight of HR-related matters and tax compliance; and the development of departmental policies and procedures. This role is crucial for ensuring the financial stability and compliance of the association as both a department within the university system, as well as a separate 501(c)3 non-profit.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Financial Reporting - Generate, analyze and present various financial reports to UW, the Vice President of Student Affairs, the UWAA Board, Executive Director and UWAA team members ensuring accurate and up to date fiscal information. Serve as the association's point of contact for all external and internal audits.
- Reconciliation of Accounts - Regularly reconcile accounts (UW Alumni Association, UW & UW Foundation) with QB records, meticulously matching transactions to maintain financial accuracy.
- Transaction Entry, Bill Payment, Cash Handling and Invoicing - Accurately enter all financial transactions into QuickBooks (QB) including invoicing and ensuring timely cash handling and precise recording of income, expenses, investments and bill payments.
- Budget Management - In collaboration with UW, the Vice President for Student Affairs, the UWAA Board, Executive Director and UWAA team members, this position will develop, manage, and forecast the annual budget to ensure alignment with the association's strategic goals, financial stability and accuracy.
- UWAA Board - In collaboration with the Executive Director and the Office Associate (Board Liaison) actively lead and participate with the UWAA Board Finance and Legal Committee providing insights and strategic recommendations for the association. Examples include but are not limited to directly working with the board on the following: annual budget, investments, monthly pre-audit process, bylaws, MOAs, department processes and procedures as well as position manuals).
- This responsibility is critical to ensuring the UWAA Board of Directors can carry out their fiduciary responsibilities for the 501(c)3 non-profit status of the association.
- Human Resources - In collaboration with the Vice President of Student Affairs, UW HR, provide leadership and support for all UWAA HR related matters including but not limited to hiring, recruiting, payroll, benefits, trainings to ensure effective personnel management and organizational compliance.
- 990 Tax Return - In collaboration with external accounting partners, oversee tax related matters ensuring compliance with applicable tax regulations and facilitating the preparation and submission of the annual 990 Tax Return.
- This responsibility is critical to ensuring the UWAA Board of Directors can carry out their fiduciary responsibilities for the 501(c)3 non-profit status of the association.
- Business Operations and Compliance - In collaboration with UW, the Vice President of Student Affairs, the UW General Counsel's office and the UWAA Board, develop, update, and maintain UWAA Departmental Administrative Procedures (DAPs) providing guidance to the Executive Director ensuring adherence to best practices and legal requirements while ensuring consistency and compliance with UWAA Bylaws as well as UW Regulations, Policies and Procedures including, but not limited to, management of contracts, risk management, safety, and internal and external audits.
- Other duties assigned related to the management of the association's business operations and reporting
SUPPLEMENTAL FUNCTIONS:
- Research new ideas to implement for UWAA business operations.

REMOTE WORK ELIGIBILITY:

MINIMUM QUALIFICATIONS:
Education: Bachelor's degree in Accounting, Business Administration, or a related field
Experience: 4 years work-related experience
Required licensure, certification, registration or other requirements: Valid driver's license with a motor vehicle record (MVR) compliant with the .
DESIRED QUALIFICATIONS:
- Preferred Certified Public Accountant (CPA) or experience in the accounting industry
- Experience with Accounting Software - Preferably QuickBooks
- Experience recording financial transactions, reconciling accounts, managing bill payment, invoicing, providing financial insights and reporting
- Experience with cash handling best practices
- Experience with collaborative budget management, oversight of HR-related matters, tax compliance, and the development of departmental policies and procedures
- Proven written, verbal and interpersonal communication and relationship-building skills
- Proficient in Microsoft Office Suite including Microsoft Teams
