Job Summary

The Accounting Specialist for Residential Life, a unit within University Housing is responsible for the providing comprehensive accounting and financial support for the operational and programmatic efforts of the unit that includes a number of housing affiliated student organizations. The position is engaged in the preparation, verification, and maintenance of a wide variety of accounting and financial systems, documents, and reports. Employees at this level function with the independence and authority that have a significant impact on the unit. All University Housing staff will engage and contribute to a culture of diversity, equity, and inclusion within University Housing.

Duties & Responsibilities

  • Direct the day-to-day operation of Residential Life Accounting.
    • Reviews invoices and statements, verifying information, ensure funds are available, and, if questionable, resolving with submitting unit, determining accounts involved, coding transactions, and processing material for application in the accounting system.
    • Corrects transaction documents, which require revision of other documents or entries as well as the original; initiates other actions.
    • Posts financial information to journals, registers, ledgers, and other related records; makes adjustments, prepares trial balances, and reconciles accounts.
    • Answers inquiries and provides information concerning invoices, outstanding balances, and/or payments.
  • Develops, recommends, and interprets operating policies and procedures relative to Residential Life Accounting.
    • Interprets and/or composes correspondence requiring knowledge of departmental regulations, procedures, practices, and policies.
    • Provides guidance and training to employees; serves as a resource of information for other departments, as required.
  • Assists in reviewing, auditing and reconciling accounts and statements.
  • Plans, organizes, assigns, and reviews the work of a student employee and participates in their selection, training, and evaluation.
  • Establishes, modifies, and/or supervises the maintenance of manual(s) and/or automated record storage systems.
  • Supervise and assign tasks to 1-3 student workers.
  • Maintains records of fiscal transactions and works closely with Housing Business Services in understanding financial processes and procedures that includes attending regular meetings with Housing Business Services.
  • Assists in the development of budgets and budget projections by assembling and presenting data.
    assists in budgetary control by monitoring budgets and originating or verifying adjustments and transfers.
  • Reconciles reports from outside agencies and operating units by contacting units and researching causes of discrepancies and taking action to ensure that accounts agree.
  • Performs other related duties as assigned.
  • Serve as a backup point of contact for the Residential Life main office by assisting with answering phones, providing customer service, and opening/closing the office.

Minimum Qualifications


  • High school diploma or equivalent.
  • Any one or combination totaling two (2) years (24 months) from the categories below:
    • Course work in accounting, as measured by the following conversion table or its proportional equivalent:
      • 9 semester hours equals two (2) years (24 months)
    • Course work in any discipline as measured by the following conversion table or its proportional equivalent:
      • 30 semester hours equals one (1) year (12 months)
      • Associate's Degree (60 semester hours) equals eighteen (18) months
      • 90 semester hours equals two (2) years (24 months)
    • Work experience in bookkeeping, office support, or closely related experience.
  • Two (2) years (24 months) work experience in bookkeeping, office support, or closely related experience.

Knowledge, Skills and Abilities

  • Knowledge above the rudimentary understanding of bookkeeping practices and procedures and accepted accounting principles.
  • Knowledge of university and departmental policies, rules, and regulations.
  • Knowledge of administrative and clerical procedures and systems such as word processing, spreadsheets, managing files and records, and other office procedures.
  • Skill in active listening and critical thinking.
  • Skill in time management.
  • Skill in compilation of complex financial records and the preparation of routine financial reports or statements.
  • Ability to communicate effectively as appropriate for the needs of the audience.
  • Ability to make computations with speed and accuracy.
  • Ability to work independently and exercise judgement.
  • Ability to supervise, set priorities, establish management objectives, and schedule work assignments.

Appointment Information

This is a 100% full-time Civil Service 4651 - Accounting Specialist position, appointed on a 12-month basis. The expected start date is as soon as possible after the close of the search. The salary for this position starts at $21.828 per hour ($42,564.60 per year) and is commensurate with experience.
