Program Coordinator - Office of Public Engagement

Job Summary
The Program Coordinator will be responsible for project/program planning, implementation, management, and oversight in support of strategic initiatives that support and advance Public Engagement in the Office of the Chancellor.
Duties & Responsibilities -
Program Management:
Manage the University of Illinois, Urbana-Champaign MSI Alliance (MSI Alliance) initiative which aims to increase the number of underrepresented students pursuing and obtaining doctoral degrees leading to successful careers in academia and beyond. This includes, but is not limited to the following:

Serve as a liaison and primary point of contact between the university, minority serving institutions (2 and 4 year), faculty, staff, students, internal and external stakeholders, and related campus programs/initiatives.

Work with faculty, staff, students, and stakeholders to develop, implement, and manage projects, activities, programs, and events in support of the MSI Alliance initiative.

Anticipate, identify, and mitigate issues of concern or significance; exercise discretion to provide timely information and necessary updates across multiple stakeholders to ensure initiatives move forward effectively.

Serve as the primary point of contact for prospective and current student participants.
Project Management:

Lead the planning, development, and implementation of projects related to the MSI Alliance which also includes creating project plans and timelines.

Independently monitor and respond to action items and stakeholder requests to ensure programs/initiatives are moving forward effectively and efficiently.

Communicate routine project updates and relevant delays or issues to necessary team members and project stakeholders.

Identify, track, and analyze performance-related data for programs and projects, generating data-intensive periodic reports.

Utilize project management methods and competencies to coordinate special programs through implementation.
Administrative:

Manage and provide administrative oversight for public engagement programs assigned by the executive associate chancellor and the associate director, ensuring regular communication about program status, problem-solving as needed, and timely completion.

Plan and organize meetings, special events, and other types of engagement activities. This involves managing events from initial concept, soliciting participation, program creation, application and registration systems, promotional material, recruitment of participants, registration logistics, on-site coordination of event activities, and post-event assessment and reporting.

Support MSI Alliance councils, committees, and working groups.

Provide support to develop and maintain tools and materials for outreach and communications.

Build and maintain relationships and coordination with a wide range of offices, staff, and stakeholders, internal and external to the university.

Research, write, edit, and coordinate the preparation of special reports, briefings, and presentations.

Prepare proposals; provide administrative guidance for grant preparations, including budgets and justifications; identify grant funding.

Help manage budgets, track spending, and develop spending reports.

Work closely with the executive associate chancellor and the associate director in carrying out frequently changing additional assignments and duties, as requested.
Minimum Qualifications -

Bachelor's degree.
- Three (3) years of professional experience in program, product, or project management.
- Demonstrated experience in public or community engagement and working in a higher education setting with students.
Preferred Qualifications -
-
Two years of experience implementing diversity, equity, and inclusion programming and initiatives.

Three years of professional work experience that includes at least two (2) of the following areas, a.) Managing operations for a program or office, b.) Experience in faculty exchanges and research experience, or c.) Experience with student recruitment or outreach.

Experience with information gathering, evaluating, and managing data, and preparing reports.
Knowledge, Skills and Abilities -

Ability to work cooperatively and strategically in a team environment with all levels of professional, technical, and administrative staff, including managing external teams as part of university-led partnerships.
- Outstanding interpersonal skills and the ability to develop and maintain effective working relationships with diverse, broad-based constituencies.
- Demonstrated ability to navigate often sensitive and complex internal and external stakeholders and partnerships.
- Strong oral and written communication skills.
- Proven self-starter who can work independently with minimal supervision.
Appointment Information
This is a 100% full-time Civil Service 5002 - Program Coordinator position. The expected start date is as soon as possible after the close of the search. Salary is commensurate with experience. Sponsorship for work authorization is not available for this position.
