POSITION SUMMARY 

The Administrative Assistant role at UpKeep supports our CEO and management team and maintains the UpKeep Los Angeles Corporate Headquarters. This role requires exceptional organization, commitment to service, and communication skills.


This is a full-time role, with up to 2 required days in our LA HQ when the CEO is in-office.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES  
  • Office of CEO Responsibilities:
- Manages logistics for all Executive Leadership Team daily standups and weekly syncs. 
- Schedules and organizes monthly, all-day Executive Leadership Team strategy meetings, both remote and in-person.
- Attends meetings, takes detailed notes on action items, and follows up with content and deliverables.
- Provides time planning support and manages meeting preparation, and logistics based on knowledge of manager and business needs for CEO.
- Supports creation, design, and editing of decks and other team-facing communication materials. 
- Supports expense reporting for VP of People and CEO.

  • Facilities Responsibilities: 
- Manages, plans, and develops events for the SoCal-based team. Takes responsibility for event outcomes. Own event setup/breakdown and other logistics.
- Acts as point of contact for UpKeep’s subtenants.
- Manages all services (e.g. food and beverage, equipment, supplies and maintenance). 
- Works with vendors to ensure general cleanliness and appearance of the office (kitchen, conference rooms, bathrooms, and other common areas). 
- Ensure office inventory, purchasing and supplies are stocked and purchased in a fiscally responsible way. 
- Lead shipping and mailing to ensure all parties receive mail and shipping is done timely.
- Provide support for IT needs across the business including; ordering and replacing equipment for remote teammates, keeping in-office equipment in good working order
- Ensure proper adherence to all office policies and guidelines. Provide recommendations to policy changes as needed.
- Provide additional support as needed on a timely and consistent basis.


EXPERIENCE
  • You have experience supporting C-level executives (highly preferred).
  • You are proactive in anticipating the needs of the people you support and in obtaining the information you need to execute your projects.
  • You have a team-first mentality and have experience collaborating with key stakeholders on multiple projects.
  • You are able to work independently and are a self-starter.


KNOWLEDGE
  • You’re highly adept in Google Suite, Slack, Zoom, and other communication technologies.
  • You maintain a high level of confidentiality.
  • You possess excellent verbal and written communication skills, ability to influence, and exceptional organizational skills and attention to detail.
  • You have experience creating, designing and editing Powerpoint and Google Slides presentations.
