POSITION SUMMARY:
The Executive Assistant provides support to ULI’s Chief Marketing Officer (CMO) and Chief People Officer (CPO). They provide pragmatic assistance with day-to-day administration, scheduling, communications and coordinating activities that deliver departmental plans and projects.
This is a hybrid role based in Washington, DC, with an expectation for the incumbent to work in the office 2-3 times a week. The successful candidate will have the flexibility to collaborate both in-person and remotely, fostering a dynamic and inclusive work environment.
SPECIFIC RESPONSIBILITIES:
- Manage calendars and scheduling for the CMO and CPO.
- Arrange and support meetings, calls, committees, and other events.
- Coordinate with relevant parties to deliver smooth meeting and event logistics e.g., caterers, IT, Facilities.
- Produce presentations, reports, emails and other forms of communication, in support of team projects and plans.
- Coordinate follow ups and reminders, on behalf of CMO and CPO.
- Manage all travel plans, expenses and other day-to-day administrative tasks.
- Follow up with stakeholders on progress and deliverables to ensure project and strategic plans stay on track.
- Conduct research to support projects, reports and proposals.
- Act as ‘face’ of ULI to visitors and callers.
- Capture minutes and actions from meetings and follow up with action owners to ensure timely completion.
QUALIFICATIONS:
- Minimum four years of PA/EA experience, supporting busy senior executive roles.
- Strong experience in drafting and producing communications, presentations and reports.
- Project management experience is advantageous, although not necessary.
- Event management experience is advantageous, although not necessary.
EDUCATION:
- Bachelor’s degree or relevant experience.
