We are currently seeking a Project Coordinator to support the Valuation & Advisory Services platform, supporting our appraisal team. The Project Coordinator is responsible for prioritizing and executing projects to meet deadlines in a fast-paced, team-oriented environment. The individual in this position will provide administrative support and help drive team initiatives. The primary function of the role will include a combination of supporting team origination and production for tasks such as: • Project setup in project management tracking software and maintain status updates for upwards of 1,500 projects per year. • Coordinate project status updates among participating team members and keep relationship manager informed of delivery status. • Support team with creating and executing engagement letters with clients. • Manage appraiser licenses, including applications, renewals, and continuing education tracking. • Work with appropriate contact to maintain intranet/extranet sites for client and property purposes. • Oversight of production of deliverables and timelines. • Maintain all project files, including supporting data and client deliverables. • Ensuring timeliness of responses and compliance with due dates. • Research project-related information on an as needed basis. • Coordinating with leadership on bid research and team assignments. • Monitor and report on client feedback. General responsibilities • Daily use of company applications, i.e. Microsoft office, Box, PeopleSoft, Workfront, CRM and Outlook. • Prepare and execute expense reports on a regular and timely basis. • Perform clerical duties to include scheduling appointments, coordinating calendars and preparation of meeting materials and notes. • Produce timely and accurate documents (reports, memos, proposals, charts, agreements, etc.). • Execute and manage real estate data capture strategies with direction from senior leadership. • Complete or manage various tasks determined by Valuation Leadership. • Support national Operations with any local, regional, or national employee and client events. Requirements • Bachelor’s Degree or commensurate experience preferred. • Workplace experience, minimum of 3 years in administrative support role required. • Real estate background is preferred. • Advanced Microsoft office product knowledge - Excel, Word, and Outlook. • Adaptability – Maintain effectiveness in varying environments, tasks, and responsibilities; works well with various types of people; can work independently, cooperatively, or as part of a team; comfortable with continuous and overlapping deadlines. • Planning and Organizing – Effectively create, update, and maintain project lists and trackers; develop schedules and task/people assignments; uses resources effectively and efficiently. • Customer Focus – Dedicated to meeting the expectations and requirements of the external and internal customer; acts with customer in mind; establishes and maintains effective relationships with customers and gains their trust and respect. • Dealing with Ambiguity – Can effectively cope with change; can shift gears comfortably; can decide and act without having the total picture; can comfortably handle risk and uncertainty. • Interpersonal Savvy – Relates well to all kinds of people, up, down, and sideways, inside and outside the organization; uses diplomacy and tact. • Learning on the Fly - Learns quickly when facing new problems; open to change; quickly grasps the essence and underlying structure of new tasks; enjoys the challenge of unfamiliar tasks. • Self-starter – Able to start and complete projects independently; comfortable making decisions based on data. • Time Management – Use time effectively and efficiently; can attend to a broad range of activities; comfortable prioritizing tasks and communicating expectations on timing; dedicated to meeting deadlines. • Written/Oral communications – Ability to speak and write clearly and concisely; get messages across that have the desired effect; comfortable initiating conversations or pursuing answers. #LI-MJ1 Required Skills: Job Tags: VAS What you can expect from us We succeed together and believe the best inspire the best, so we invest in supporting each other, learning together and celebrating our success.
