Position Summary

This role will work directly for the Events Director of US Sailing and will serve various key purposes. This position supports the Events Director in larger events and in all organization-wide events and provides valuable input in developing and implementing a strategy for event marketing, registration, promotion, and attendee recruitment. This role will also serve as a liaison between board and staff for board meeting preparation as well as key projects and initiatives. This position will also support the executive team with administrative tasks and help execute special strategic projects & assignments.
What you’ll be doing:
Event Coordinator
  • Support the Events Director in larger events and in all organization-wide events.
  • Serve as the event lead for small to medium-sized events as needed, including but not limited to luncheons, dinners, receptions, regional meetings and smaller donor events.
  • Research and source event venues and initiate contract negotiations
  • Provide valuable input in developing and implementing a strategy for event marketing, registration, promotion, and attendee recruitment.
  • Coordinate event communications, invitations, and social media schedule
  • Facilitate the development of event branding, signage, print materials, and attendee handouts.
  • Respond to all phone calls and emails for basic event inquiries including registration transfers, cancellations, and general inquires.
  • Perform administrative tasks to support the Events Department
Board Liaison
  • Support the Secretary in generating agendas and other materials for meetings of the Board of Directors.
  • Facilitate the support of in-house resources to execute administrative tasks relating to Board meetings.
  • Provide day-of meeting support to ensure successful execution of all meetings for the Board, Executive Leadership Team, and other Committees.
  • Facilitate the tasks associated with the Annual Meeting and Board Election in accordance with the Association Bylaws.
  • Provide logistical support for the planning of in-person Board meetings.
  • Manage the President’s Award and volunteer recognition program on behalf of the President including soliciting submissions, securing gifts and drafting presentations to accompany award presentations.
  • Maintain Board and Committee distribution list staff liaisons list including all contact information. Manage the process for nominating and confirming new committee chairs/members and work with Secretary to onboard new Committee Chairs upon annual appointment.
Special Projects
  • Support Executive Leadership with administrative tasks including expense reports, travel, scheduling meetings, etc
  • Coordinate special executive-level projects and independently execute special strategic projects and assignments.
  • Collaborates with and provides assistance to the Leadership Team on an as-needed basis.
Who you are:
  • Three years or more of work experience in a project or events-related role.
  • Strong organizational skills and desire to improve and streamline processes.
  • Possess the ability always to maintain confidentiality and discretion and handle sensitive information with confidentiality and tact.
  • Working knowledge of Microsoft Excel, Word, PowerPoint, and Outlook.
  • Demonstrate interpersonal skills and proficiency in business vocabulary to effectively represent the executive and company to outside parties.
  • Excellent interpersonal, oral, and written communication skills.
  • Excellent writing, proofreading, and editing skills.
  • Organizational and planning skills, team player, excellent attention to detail, adaptable, takes initiative, problem-solving skills, multitasking.
  • Prioritize and manage multiple projects simultaneously with little or no supervision.
