Position Summary: Provides analytical and specialized administrative support to relieve executive, administrative, and line and staff managers of complex details and advanced administrative duties. Executes special or continuous research and data analysis tasks. Analyzes problems, determines approach, compiles and analyzes data, and prepares reports/recommendations. Coordinates activities between departments and outside parties. Contacts company personnel at all organizational levels to gather information and prepare reports. Work is generally of a critical or confidential nature. Assignments may be found in various functional areas. Scope of Responsibilities: Has substantial understanding of the job and fundamental skills. Applies knowledge and skills to complete a wide range of tasks. Works on assignments that are moderately difficult. Requires discernment to resolve issues and/or make recommendations. Normally receives little instruction on daily work and requires general instructions on newly introduced assignments. Responsibilities: Typically reports to Sr. Director and/or above and may support a department, function or site. Resolves administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions. Provides information by answering questions and requests. Produces memos, letters, reports, slide decks, etc. and assists in compiling business review agendas, notes, etc. Schedules and manages all domestic and international travel and accommodations, meetings and meeting logistics. Organizes, reconciles and submits expense reports in Concur. Answers, screens and directs telephone calls. Acts as an ambassador for Illumina – internally & externally, exhibiting a positive attitude and living our values. Develops strong business partnership with department, function, site or leader. Assists department, function, site or leader in managing external requests, presentations and other details needed. Maintains workflow by studying methods; implementing cost reductions; and developing reporting procedures. Creates and revises systems and procedures by analyzing operating practices, recordkeeping systems, forms control, office layout, and budgetary and personnel requirements; implementing changes. Completes operational requirements by scheduling and assigning administrative projects; expediting work results. Requirements: Typically requires a minimum of 2 - 4 years of related experience. Experience with calendar management, meeting and event planning, preparation of presentations, conference registration and expense report administration. Must have proficiency in Outlook, Word, Excel and Power Point. #LI-ONSITE The estimated base salary range for the Sr Administrative Coordinator role based in the United States of America is: $55,000 - $82,400. Should the level or location of the role change during the hiring process, the applicable salary range may be updated accordingly. Compensation decisions are dependent on several factors including, but not limited to, an individual’s qualifications, location where the role is to be performed, internal equity, and alignment with market data. Additionally, all employees are eligible for one of our variable cash programs (bonus or commission) and eligible roles may receive equity as part of the compensation package.
